The purpose of the class is to perform a variety of routine to complex clerical work in support of effective and efficient Office of the Clerk of Court operations, and to provide professional and courteous customer service at all times. This class works according to some procedures but decides how or when to do things; work is reviewed regularly by supervisor.

ESSENTIAL TASKS

Examines legal documents submitted to court for adherence to law or court procedures; opens and closes case files.

Assists defendants, complainants, attorneys, paralegals, solicitors, court personnel, law enforcement personnel, jurors, magistrates, and others in completing various legal forms as required for court; assists the public in obtaining information / copies of court documents as appropriate.

Obtains case / trial information for judges, and contacts witnesses, attorneys and litigants to obtain information for court.

Prepares, processes, copies, indexes, files, transmits and/or maintains various legal documents and court records, including but not limited to tickets, warrants, petitions, subpoenas, summonses, indictments, commitments, orders, notices, judgments, dispositions, expungements, etc.

Enters Plaintiff/Defendant and attorney’s information in new family court cases in FCCMS.

Files documents in their correct file folder prior to court hearings.

Ensures the security and confidentiality of case files as appropriate.

Assigns docket numbers to child support cases from Child support enforcement.

Posts payments in FCCMS system on new family court cases and fees on existing family court cases.

Collects fines, fees, bonds, restitution and other payments, and issues receipts.

May assist in managing juvenile, child / domestic abuse and/or other cases as assigned.

Produces orders associated with adoptions, terminating rights, divorces and custody actions for directed by the judge.

Prepares and mails out literature to Custodial and Non-Custodial parents on new cases.

Processes name change orders which have confidential information at the judge’s requests.

Answers the telephone; provides accurate information and assistance to callers and/or forwards calls to appropriate personnel; takes messages as necessary; greets and assists office visitors.

Pulls daily reports from KidStar system. Count monies and approve the payments that were posted. Complete the Deposit slip.

Assists Department of Social Services with requested clerical duties, through email and assists helping set up their new cases.

Serves as deputy clerk, as necessary.

Performs general clerical duties as required, including but not limited to preparing reports and correspondence, copying and filing documents, entering and retrieving computer data, sending and receiving faxes, answering the telephone, processing mail, etc.

Assists co-workers with clerical duties as necessary; provides training to lower-level clerical staff as assigned.

Receives and responds to inquiries, requests for assistance and complaints pertaining to department procedures.

Attends training, meetings, seminars and/or workshops as required to enhance job knowledge and skills.

DATA INVOLVEMENT : Requires summarizing, tabulating or formatting data or information in accordance with a prescribed schema or plan to facilitate the identification and extraction of useful information.

PEOPLE INVOLVEMENT : Requires giving information, guidance or assistance to people to directly facilitate task accomplishment; may give directions or assignments to helpers or assistants.

INVOLVEMENT WITH THINGS : Requires handling or using machines, tools, or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones, or other similar equipment; may service office machines, including adding paper and changing toner.

COGNITIVE REQUIREMENTS

REASONING REQUIREMENTS : Requires performing semi-routine work following procedures with occasional problems.

MATHEMATICAL REQUIREMENTS : Requires using addition and subtraction, multiplication and division, and/or calculating ratios, rates and percentages.

LANGUAGE REQUIREMENTS : Requires reading technical instructions, procedures, manuals and charts to solve practical problems; composing routine reports and specialized reports, forms and business letters with proper format; speaking compound sentences using normal grammar and word form.

MENTAL REQUIREMENTS : Requires doing clerical, manual or technical tasks prescribed by standard practices but which may require computation, the use of several procedures, and the use of independent judgments with obvious choices; requires normal attention for accurate results.

VOCATIONAL/EDUCATIONAL AND EXPERIENCE PREPARATION

VOCATIONAL/EDUCATIONAL PREPARATION : Requires high school diploma or GED equivalent.

EXPERIENCE REQUIREMENTS : One (1) year of related work experience.

SPECIAL CERTIFICATIONS AND LICENSES : Must possess a valid state driver's license.

PHYSICAL AND DEXTERITY REQUIREMENTS : Requires sedentary work that involves walking or standing some of the time and involves exerting up to ten (10) pounds of force on a recurring basis or routine keyboard operations.

ENVIRONMENTAL HAZARDS : The job risks exposure to no known environmental hazards.

SENSORY REQUIREMENTS : The job requires normal visual acuity and field of vision, hearing and speaking ability, and color perception.

JUDGMENTS AND DECISIONS Responsible for guiding others, requiring a few decisions affecting a few co-workers and others who depend on the service or product; works in a somewhat fluid environment with rules and procedures but with many variations from the routine.
