Central Receiving Senior Property Specialist
The Central Receiving Senior Property Specialist will guide dock activity and oversee the work of staff involved in a variety of delivery, receiving and training. This position is responsible for receiving, processing, and delivery of incoming shipments for OHSU inventories and stores. Receives PO's into the interfaced Oracle / SQBX receiving and tracking system, matching packing lists with Oracle receiving information. Deliveries are made around the OHSU and Waterfront campuses on a daily basis using push carts and electric carts. This position also includes the sorting of mail and packages, processing outbound shipping via FedEx, UPS, and DHL and Coordinates the use of the dock and manages freight deliveries. Works independently with limited supervision. Function/Duties of Position
Guidance
Reviews workload, plans and organizes work. Continually monitors status of on-going work to ensure that appropriate personnel are available for work assignments. Distinguishes irregularities in workflow, solves problems, evaluates and establishes work priorities. Adjusts work levels and reassigns task or duties as required to accomplish workload. Performs administrative record keeping and duties associated with Central Receiving operations. Collaborates with building management teams regarding events, changes in processes and schedules and reporting of issues.
Dock Management
This position works with incoming couriers daily to ensure that trucks are unloaded quickly to allow for large volumes of trucks to utilize the dock in a limited amount of time. This includes coordinating the efforts needed to schedule daily availability of staff and dock space for vendor deliveries and pickups, scheduling dock bays, etc.
Receiving shipments into the SQBX / Oracle system
This position will be responsible for the final receiving and tracking of packages via our enterprise-wide financial system (Oracle) and/or our digital tracking system (SQBX). This ensures timely receipt and payment of invoices by OHSU to vendors. This position is also responsible for maintaining an accurate database within SQBX.
Sorting and delivery of shipments
This position will deliver to many different buildings, floors, units, departments and specific rooms based on the particular routes and delivery needs. Shipments will be delivered through various means; most consist of walking routes using carts and hand trucks.
Sorting and delivery of mail
This position sorts and delivers mail throughout particular buildings. Deliveries are made to a central mail room or to individual department mailboxes.
Freight Management
This position is responsible for accepting incoming freight or re-routing to the appropriate destination. This includes inspecting for damage, processing required Delivery & Fleet Services paperwork, and filing of paperwork.
Outbound Shipping
This position performs outbound UPS and FedEx shipping. This includes inspecting packaging and contents and screening INTL recipients to meet OHSU Office of Export Controls and various governmental regulations.
Training
Will assist in training of new and existing staff on departmental processes and procedures related to daily activities.
Customer Service
Provides consultation and resolves customer complaints in a timely and professional manner.
Other duties as assigned. Required Qualifications
Experience performing stores and inventory work; AND
Training or experience providing knowledge of inventory control systems, and transportation agencies and shipping methods.
May require current Driver's license and driving record that meets OHSU's driving requirements.
Customer service skills. Must be personable and able to handle customer service inquiries.
Ability to operate a wide array of warehouse equipment. Handtrucks, pallet jacks, dollies, and electric carts.
Ability to learn and retain customer names and delivery locations.
Proficient with financial receiving software.
Proficient with digital package tracking hardware and software.
Proficient with outbound shipping and recipient screening software and regulations.
Proficient with Microsoft Office.
Preferred Qualifications
High School Diploma or Equivalent plus 3 years of field experience in logistics.
3 years in a fast-paced warehouse / Shipping & Receiving / mail room environment.
3 years of demonstrated professional customer service skills both over the phone and in person and previous lead worker experience.
Knowledge of the OHSU campus and culture.
Proficient with Oracle financial receiving software.
Proficient with SQBX digital package tracking hardware and software.
Proficient with FedEx and UPS outbound shipping and Visual Compliance recipient screening software.
Knowledge of DOT and IATA shipping regulations.
OHSU Dangerous Goods Shippers Certification.
FedEx Dangerous Goods by Air Certification.
DOT Hazmat Certification.
Radiation Safety Certification.

Warehouse type environment. Monday - Friday, 8:00am - 4:30pm working schedule. This could change depending on the needs of the department. Some exposure to hazardous materials.
