Marketing Operations Manager – Multifamily / PropTech ($120-$150k)
We are not looking for a traditional brand marketer or social media manager. We are looking for a systems-oriented operator who understands lead generation, listing syndication, CRM workflows, AI leasing tools, and marketing automation for multifamily housing.
This is a hands-on Marketing Operations / Growth Operations role sitting at the intersection of leasing systems, marketing technology, and revenue operations (RevOps). You will own the technical plumbing that turns listings into qualified leads, leads into showings, and showings into signed leases — across SpareRoom, Craigslist, Facebook Marketplace and groups, Zillow, Apartments.com, and other syndicated channels.
What You'll Own
- Listing syndication & distribution: manage and QA listing feeds across SpareRoom, Craigslist, Facebook Marketplace and Facebook groups, Zillow, Apartments.com, and other ILS partners. Ensure feeds are syncing properly, listings are live and accurate, and no inventory is leaking.
- CRM administration & automation: own day-to-day administration of Entrata (and adjacent CRM tools), including lead routing rules, workflow automation, templates, and pipeline hygiene.
- AI leasing tools: configure, tune, and monitor EliseAI to maximize response time, tour booking rate, and lead-to-lease conversion. Identify gaps in the AI's coverage and close them with workflow logic.
- API integrations & webhooks: scope and implement integrations between listing sources, CRM, AI leasing tools, and reporting layers. Comfortable with Zapier, native APIs, webhooks, and middleware to keep data flowing end-to-end.
- Lead routing & follow-up workflows: design and maintain the rules that decide who gets which lead, when, and through which channel (SMS, email, AI agent, human leasing agent). Build automated follow-up cadences.
- Funnel optimization & reporting: track lead volume, response time, showings booked, showings completed, applications, occupancy, and cost per lease. Build dashboards leadership can actually use.
- Vendor & VA coordination: potentially coordinate virtual assistants or offshore posting teams responsible for daily reposting, listing refreshes, and inbox management. Build SOPs so the system runs without you in the loop on every task.
- Continuous improvement: A/B test listing creative, response scripts, AI prompts, and routing logic. Kill what doesn't work, scale what does.
You're a Fit If You Have
- 3+ years in marketing operations, RevOps, CRM administration, growth operations, marketing technology, SaaS customer success, multifamily proptech, digital operations, marketing automation, or agency operations.
- Hands-on experience with CRM automation and lead routing — Entrata strongly preferred; HubSpot, Salesforce, RealPage, Yardi, Knock, or similar also relevant.
- Working knowledge of AI leasing tools (EliseAI / MeetElise, Colleen, Hyly, LeaseHawk, or comparable).
- Comfort with API integrations, webhooks, and automation platforms like Zapier, Make, or n8n.
- Practical experience managing listing syndication and ILS feeds for multifamily, coliving, furnished housing, or short-term rental inventory.
- Familiarity with niche distribution channels: SpareRoom, Facebook Marketplace, Facebook groups, Craigslist, Furnished Finder, Reddit.
- A funnel optimization mindset — you instinctively measure lead volume, response time, cost per lead, and cost per lease.
- SQL, spreadsheets-as-databases, or light scripting is a plus but not required.
Nice to Have
- Prior multifamily marketing or proptech experience (lease-up, coliving, furnished housing).
- Experience managing offshore teams or virtual assistants.
- Background in SaaS customer success or implementation, RevOps at a high-growth company, or agency operations leading client automation work.
