We plan, design, permit, mitigate, and restore for projects across our communities, infrastructure systems, open spaces, and wildlands. ESA seeks a Proposal Coordinator to join our team in Northern California. We are looking for a dynamic individual with at least two years of professional experience to join our talented team. The ideal candidate shall be responsible for developing and coordinating deliverables to requests for proposals/qualifications (RFP/RFQ) in the Architecture and Engineering (A/E) market. The successful candidate will demonstrate the initiative, skill, and personal commitment to manage multiple proposals concurrently; the ability to produce accurate, compliant, and creative proposals; and the flexibility and commitment to meet quick‑turnaround client deadlines. The selected candidate shall be at one of our Northern CA (San Francisco, Oakland, San Jose, Petaluma, & Sacramento) offices when needed.
Who You Are
A Proposal Coordinator with a minimum of 2 years of professional experience in Northern California who is seeking an opportunity to learn and share innovative ideas. You can work collaboratively with department members and internal clients to identify, research, and evaluate marketing opportunities.
You can complete day‑to‑day tasks in a fast‑paced environment and maintain a commitment to high‑quality deliverables. You are proactive and detail oriented and able to work individually and as part of a team.
You thrive in a collaborative environment and possess exemplary communication skills. You have exceptional writing and oral presentation skills.
You are an effective collaborator able to collect and coalesce information from various technical teams to produce persuasive proposals, compelling content, and marketing collateral for clients, agency staff, teaming partners, and other interested parties.
You hold an associate degree in marketing, journalism, communications, English, or a related field. A bachelor's degree is preferable but not required. Additional years of experience can be considered instead of a degree.
You have strong MS Office Suite skills and are knowledgeable in Adobe Suite (InDesign, Illustrator).

Experienced working in the A/E/C industry is highly preferred but not required.
What You Will Do for ESA
Support the Northern California Region to meet and exceed our annual acquisition goals by assisting in the creation and coordination of multi‑discipline proposals as specified in ESA's Strategic, Market, and Regional Business Plans in collaboration with technical teams.
Manage multiple responsibilities and deadlines in a fast‑paced, challenging environment while working on a team or independently.
Streamline and monitor the client management process; receive, review, and distribute marketing leads for pursuit.
Assist with data collection and records management for proposal, project, personnel, clients, and teaming partner information using CRM software; generate reports as needed. Maintain internal qualifications and resume‑library.
Assist with prime and sub‑consultants for pursuits and coordinate short‑list interview preparation.
Participate in regular marketing and business development meetings. Support opportunity tracking and identify strategic cross‑discipline and/or cross‑regional marketing opportunities. Assist with strategic marketing programs and plans of action, including conference and event participation.

Pay range: $32–$39 USD
