About the Role
Key responsibilities include managing a portfolio of community associations, providing leadership and consulting on best practices, running board and owner meetings, working extensively with the Board of Directors, vendors, contractors, and homeowners, managing special projects, budgeting, and ensuring client satisfaction and account retention.
Responsibilities
Manage all operations for a portfolio of community associations.
Provide leadership and consulting with clients on best practices regarding management and oversight.
Create, agendas for and manage monthly, bimonthly, quarterly, and annual Board Meetings.
Create agendas for and manage and run annual Association Owners’ meetings.
Work extensively with the Board of Directors, vendors, contractors, and homeowners within the communities.
Meet with associations 1–2 times a week.
Assist in special projects.
Create budgets and manage financials for associations under management.
Select and supervise vendors performing services for the community.
Ensure homeowner assessments are paid on time and pursue appropriate actions with delinquent accounts.
Comply with company policies and procedures.
Maintain client satisfaction and account retention.
Practice and adhere to Keystone’s Core Values, Mission, and Vision.
Perform any additional duties as required by the supervisor.
Qualifications
Valid Driver’s License with clean DMV record.
Reliable transportation to drive to and from communities.
Strong knowledge of the HOA industry.
Excellent client service orientation with responsiveness and follow‑up.
Proficiency in MS Office, TEAMS, Outlook, Word, Excel, PowerPoint, and HOA software.
Strong attention to detail and ability to maintain a positive attitude.
Strong leadership and collaboration skills.
Excellent interpersonal, influencing, and relationship‑building skills.
Ability to win and maintain the confidence of boards of directors of served associations.
Strong verbal and written communication skills.
Effective organizational and time‑management skills to juggle multiple tasks and meet deadlines.
Ability to work independently and in a team environment.
Availability to attend and participate in evening meetings.
Flexibility to work after hours during the week and on weekends as part of an on‑call rotation program.
Verifiable references and ability to pass a background check.
3–4 years of experience in an HOA management role (2–3 years in customer service).
CAI or CACM certification a plus.
Bachelor’s Degree preferred; High School Diploma or GED required.
