Instructional Designer - Epic | HaBITTS | Full Time Position will require onsite work. Not guaranteed to be fully remote.

About the Role:

The Instructional Designer is an Epic certified instructor responsible for delivering successful training to a diversified audience for the HFHS implementation of an electronic healthcare record utilizing the EPIC system of applications. The role requires flexible work hours to meet the needs of the user community.

Under general supervision, the Instructional Designer organizes and conducts moderately complex training and educational programs for Epic applications. The role maintains records of training activities, employee progress, and program effectiveness, and is responsible for improving the image and productivity of the application end‑user experience. The candidate will provide computer, workflow‑based and procedural training, and lead operations improvement projects.

The Instructional Designer will provide management oversight for the credentialed trainers within their application area. This includes assisting with the recruitment and hiring of these individuals, coordinating schedules and tasks, and providing quality assessments of their instructional skills and classroom performance. Strong interpersonal, written and verbal communication skills are required.

Key Duties and Responsibilities

Design, plan, organize and facilitate computer and procedural training programs and continuing education for all HFHS employees and community physicians, including content development and building the MST and ACE training environments.

Design assessments to measure employee knowledge and skills; maintain documentation of assessment results and report results to training managers.

Identify problems and report trends to the Implementation and Training Manager; recommend training and education programs, process improvement programs and/or other program developments.

Design and implement new processes/programs to improve the image and productivity of the training department.

Monitor industry changes and system updates; revise training programs to incorporate industry changes.

Collaborate with appropriate internal and external staff members to conceptualize new procedures or programs.

Assess training needs before, during and after each class.

Make necessary adjustments to training delivery based on student and training team feedback.

Develop strategies and solutions for enhancements to lesson plans and training delivery approaches.

Provide management oversight for the credentialed trainers, including coordinating schedules and tasks, credentialing trainers, and reviewing evaluations.

Policy and Procedures

Applies knowledge of unit/department workflows and policies associated with the use of Epic software.

Go-live

Provide support to all staff and providers according to assigned coverage schedule.

Conduct rounding to HFHS sites during the initial weeks of go‑live to support end users per the assigned coverage schedule.

Issues Management

Training and support issues are identified, communicated and escalated to ensure timely resolution.

Communication

Strong verbal and written communication skills with proven ability to build collaborative relationships across departments.

Participate in regular day‑to‑day communication with HFHS project teams to align training with organizational needs.

Provide ongoing unit/department rounding as assigned for training and support.

Identify issues, concerns and trends; communicate back to the project team for discussion and resolution.

Promote effective use of the Epic system, identify and prevent bad habits and workarounds.

Serve as a change agent to support workflow and behavioral changes related to the Epic system implementation.

Conduct new hire computer system training during the transition period as needed.

Education/Experience Requirements

Associate’s Degree or equivalent from a two‑year college or technical school required; Bachelor’s Degree preferred.

Bachelor’s degree in education, instructional design, clinical field or equivalent education and experience preferred.

One to two years of experience with specialized information systems in a clinical healthcare environment and/or 1–2 years of clinical/healthcare training experience.

Medical Assisting, Nursing, Health Care Administration, Project Management or Information Technology preferred.

Three to five years of computer‑related experience, preferably in a medical clinic or hospital setting.

Experience with EMR training and/or implementation preferred.

Knowledge of HFHS clinical and operational workflows and policies beneficial.

Ability to consistently present scripted training materials to large groups and conduct engaging training sessions for diverse audiences including management, nursing, medical assistants, support staff, physicians, mid‑level providers and others.

Ability to design an educational curriculum incorporating operational workflows and policies.

Well respected by peers and management; viewed as a trusted resource.

Prior knowledge and expertise in training and/or implementation of health care information technology solutions.

Comfortable with Microsoft Office Suite technology; not required to be an expert.

Certifications/License Requirements

Epic certification candidate preferred.

Epic certification required once hired and must be completed within the first 90 days or by the first available Epic training.
