Responsibilities

Support the planning and execution of assigned experiences by managing relevant details and logistics

Track intersecting timelines and deliverables across stakeholders to help ensure alignment

Coordinate weekly cross‑functional meetings for production and separate meetings for programming, as directed

Help maintain project timelines and budgets in collaboration with the Sr. Producer or assigned lead

Assist in delivering the specific vision, experience pillars, and goals for each experience, as outlined by leadership or the Sr. Producer

Flag any issues related to timelines, budgets, or deliverable quality to the Sr. Producer

Collaborate with agencies involved in the assigned experiences to help close gaps between production, programming, stage operations, and talent

Support on‑site execution, including agency deliverables, shipping and receiving, production schedules, and daily production checklists

Ensure promotional materials are aligned with the actual on‑site experience

Provide input on cross‑functional elements based on project goals, while deferring final decisions to the Sr. Producer

Act as a point of contact on‑site for assigned experiences and assist with coordinating logistics for VIP areas, greenrooms, consumer giveaways, apparel, venue operations, and cross‑department communication

Help track and organize owned assets for proper inventory and storage

Provide guidance to a Production Assistant during onboarding and on‑site execution

Ensure daily checklists are updated and communicate any concerns to the Sr. Producer, helping to follow through on proposed solutions

Maintain documentation such as status reports, planning templates, and other materials as directed by the Sr. Producer

Assist with physical setup and breakdown during load‑in/load‑out as needed

Contribute to detailed, metrics‑focused recaps with input from agencies and stakeholders

Track budget reconciliation status and raise any payment or invoicing issues to the Sr. Producer promptly

Attend multiple weekly internal status calls

Provide regular reporting updates on status and risks as requested by manager on each account assigned

Provide daily flash reporting throughout the event and complete the overall recap reporting for the Essence Festival of Culture 2026

Travel to New Orleans to activate client activations on site

Requirements

Bachelor’s degree in Marketing, Communications, Event Production, or a related field (or equivalent practical experience)

2–4+ years of experience in event production, experiential marketing, or project coordination

Strong organizational and project management skills, with the ability to manage multiple timelines and priorities simultaneously

Excellent written and verbal communication skills, with a high level of professionalism in cross‑functional environments

Experience coordinating with external agencies, vendors, and internal stakeholders

Ability to track budgets, timelines, and deliverables with attention to detail and accuracy

Comfortable working in fast‑paced, high‑pressure environments with tight deadlines

Willingness and ability to travel as required for on‑site event execution

Ability to lift and move light materials and equipment as needed for event setup and breakdown

Proficiency in tools such as Microsoft Office, and project management platforms

Ability to take direction while also demonstrating initiative and problem‑solving skills

Experience supporting live events, festivals, or large‑scale activations is preferred

Familiarity with production logistics, including run‑of‑show documents, call sheets, and vendor coordination is a plus
