Logistics Documentation & Shipping Specialist

About the Role
You will support logistics operations by managing critical documentation, tracking material flow, and ensuring accurate verification of incoming and outgoing shipments. This role plays a key part in maintaining the integrity of logistics data and ensuring materials, parts, and equipment are properly received, recorded, and distributed.
You will work in a fast-paced, deadline-driven environment where accuracy, communication, and attention to detail are essential to supporting operational readiness and lifecycle management of equipment and materials.
Key Responsibilities
Prepare and maintain logistics documentation for spares, tools, equipment, and technical manuals
Support deployment planning by determining maintenance and repair material requirements
Review configuration changes and assess impact on logistics support and deployment
Track, manage, and document equipment, components, and repair parts across storage locations
Coordinate verification, inspection, and receipt of incoming materials for accuracy and condition
Inspect shipments for quantity accuracy and physical damage; document discrepancies as needed
Compare incoming materials against purchase orders and supporting documentation
Input, track, and verify logistics data using internal systems and customer portals
Route and distribute packages within the facility, including handling heavy or bulky materials when required
Follow proper procedures for handling classified, sensitive, or hazardous materials
Maintain shipping records and perform manual and computer-based shipping duties
Ensure compliance with transportation, packaging, and customer shipping requirements
Perform additional duties as assigned to support logistics operations
Required Qualifications
High School Diploma or equivalent
1–3 years of direct experience in logistics or a related field
U.S. Citizenship required (government contract requirement)
Strong critical thinking, analytical, and problem-solving skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and Adobe PDF
Strong attention to detail with the ability to manage multiple tasks simultaneously
Ability to work in a fast-paced, deadline-driven environment
Strong organizational skills with the ability to maintain accurate documentation and records
Preferred Qualifications
2–4 years of experience in inventory management or related fields
Experience in logistics, warehouse operations, or shipping/receiving environments
Familiarity with logistics tracking systems or ERP platforms (SAP, Oracle, FEDLOG, Haystack)
Experience handling classified, controlled, or hazardous materials
Knowledge of transportation routing, scheduling, and packaging standards
Experience supporting defense, aerospace, or regulated environments
Military experience (e.g., Prescribed Load List Clerk, Maintenance Clerk, BII or equipment fielding knowledge)
