General Description
This position is for the school year.
Leads and directs supervision and management of the athletic and activities program at a large high school. Supervises up to 125 coaches and sponsors across more than 50 sports, clubs, and other activities. Directly responsible for the school calendar and all uses of the building and grounds. Serves as the school representative to the Virginia High School League, the District, the Conference, the South Region, and acts as the compliance officer for all VHSL rules and regulations for all sports and activities. Responsible for the transportation of all athletic teams and student groups.
Essential Job Functions
- Manages the athletic program, including hiring and evaluating all coaches in conjunction with the principal.
- Schedules all events within the building, including athletic contests, drama productions, concerts, assemblies, dances, fund‑raisers, club and SCA activities, and ensures necessary game or event workers, police, officials, and custodians are arranged.
- Maintains program budget and finances, depositing all funds from gate receipts, student equipment fees, and other sources, completing all required receipts and records, paying bills and officials, and completing all required payroll forms.
- Manages all field trips, completing required forms and approvals and scheduling transportation for all athletic teams and other student groups.
- Publishes the school calendar and schedules for students, staff, and the community.
- Schedules all non‑school and community uses of the building, completing building use forms with the facilities department, scheduling custodial coverage and heat and air for events during and after school hours.
- Coordinates award programs and nominations for community‑based awards.
- Serves as the school representative to VHLS, appropriate district, conference, and region.
- Chairs or serves on the school crisis team and school safety committees.
- Supervises multiple booster clubs.
- Assists with supervision of student activities during the day, pep rallies, assemblies, ticket sales during lunches, etc. as needed.
- Integrates the core values of accountability, responsibility, honesty, and respect into the athletic and activities department, creating and maintaining mentoring programs, feeder pattern initiatives, etc.
- Demonstrates commitment to improving professional competence.
- Performs other duties as assigned.
Budgetary Responsibility
Handles funds from gate receipts, student equipment fees, and fund‑raisers, including proper depositing of these funds and completion of all required records and receipts. Completes all relative forms for event workers, coaches, and sponsors, pays all bills as due, submits timely requisitions, supervises all fund‑raisers within the school, and creates and maintains a budget, including future plans for budgetary needs.
Report Preparation
Completes all required school forms and reports, including VHSL master eligibility lists, membership and participation forms, district and regional reports and forms, ticket report forms, game financial reports, building use forms, payroll forms, non‑contractual forms, coach evaluations, transportation forms, and field trip forms.
Equipment Operation
Operates personal computer and general office equipment and equipment related to field maintenance and lining.
Contacts
Daily contact within the school, community, region, and state, including students and school staff, coaches and sponsors, school administrators, parents, community members, boosters, media, newspapers and TV, VHSL officials, athletic administrators from other schools, central office personnel, sales representatives, transportation staff, and bus drivers.
Work Direction and Supervision
Provides work direction for coaches and sponsors, game and event workers, and custodians. Holds supervisory responsibility for evaluating over 125 coaches and sponsors of athletic teams and school activities and for supervising all game and event staff.
Decision Making
High level of independent decision making required.
Formal Policy‑Setting Responsibilities
Assists with setting policies for coaches, students, and sponsors within the athletic program and other school activities. Interprets and implements Chesterfield County, Virginia High School League, district, regional, and school policies.
Physical Demands
Must sit and stand for extended periods, exhibit manual dexterity to use a telephone, enter data into a computer terminal, see and read a computer screen and printed material with or without vision aids, hear, understand speech, and speak in audible tones. Physical agility to drive, bend, stoop, sit on the floor, climb stairs, walk, and reach overhead. Must handle average weight objects and stand or walk for 6‑8 hours per day. Long work days of 12‑14 hours are frequently required.
Work Environment
Work involves inside and outside activities in varied weather conditions with possible exposure to extreme temperature, dirt, dust, fumes, unpleasant odors, and/or loud noises.
Qualifications
Considerable knowledge of the operation of the athletic and activities program at a large public high school, VHSL, local school rules and regulations, and policies. Knowledge of turf and field management. Working skill in personal computer usage and online scheduling and calendar systems. Demonstrated ability to work effectively with a wide range of constituencies, communicate effectively both orally and in writing, multitask constantly, handle money and financial reports properly, supervise a large and varied staff and implement rules, regulations, and policies. Leadership qualities and personal characteristics necessary to work effectively with athletes, coaches, students, school administrators, staff, parents, and the community.
Additional Job Requirements
Bachelor’s degree with a concentration in sports management or related field. Valid teaching license and prior secondary teaching experience strongly preferred. Prior coaching or experience directing or organizing athletic or non‑athletic activities strongly preferred. Must maintain current First Aid, CPR & AED certification. Valid VA Driver’s License.
