This opportunity is for a Secretary to perform clerical functions for the Bedford Outpatient Program. This position schedules appointments, answers phone calls, takes payments, prepares letters, completes registration, scans documents, and performs other office duties.

DESCRIPTION OF WORK
This position is responsible for helping keep the office running smoothly by supporting doctors, nurses, therapists, and individuals receiving services. The incumbent will be working with the Electronic Health Record (EHR), greeting visitors, answering calls, scheduling appointments, and helping make sure all charts and paperwork are complete and accurate. This role is important to helping individuals get the care they need and making sure staff have the information and support required to do their jobs well. Key responsibilities include:
Front-office and scheduling support: greeting individuals and visitors, answering and directing phone calls, scheduling and rescheduling appointments, printing daily schedules, and helping manage doctor and nurse calendars
EHR and paperwork management: checking charts for updated consent forms and treatment plans, entering demographic and insurance information, scanning and uploading documents, preparing letters, and maintaining forms and supplies
Payment and insurance tasks: taking payments, verifying insurance, completing routine eligibility checks, preparing authorization forms, and helping individuals start the intake process
Program and staff support: assisting with referrals, helping nurses and therapists with needed documents, routing treatment plans for signatures, training new staff or interns, locating older medical records, and providing backup coverage for reception and other medical secretaries
Perform other related duties as assigned
Work Schedule and Additional Information:
Full-time employment
Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
On occasion, staff may need to work hours outside of the set work week to complete projects, meet work demands, or in the event of an emergency.
This position reports to the DBHS Office for work.
Upon hire, new staff begin training and are on probation for 6 months.
This position is typically not eligible for remote work; however, one day periodically of remote work may be approved on a case by case basis.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY
QUALIFICATIONS
Minimum Experience and Training Requirements:
Six months as a Clerk 1 and educational development to the level of the eighth grade;
or
Completion of a high school business curriculum;
or
Any equivalent experience and/or training which provided the required knowledges and abilities.

You must pass a background investigation.
This position falls under the provisions of the Older Adult Protective Services Act.
