Overview
Coyote Creek is accepting applications for the Event Coordinator Position at the Club. The primary function of this role is to assist the Director of Private Events in the planning and execution of all events. These events include golf tournaments, weddings, celebrations, business meetings, corporate trainings and other private events.

Essential Job Functions

Provide key assistance to the Directors of Food & Beverage, Private Events, and Golf Tournaments

Supervise banquet staff during the set up and day-of private events, weddings, and golf tournament banquets.

Assist Food & Beverage Director with collection and coordination of event details from Director of Private Events

Acts as the primary day-of point of contact for client during private events and weddings

Communicate any specific staffing requirements to Director of Food & Beverage

Ensure events are ran in a timely and seamless manner

Assist clients with setup and breakdown of decorations as needed

Inspect table set-ups; check for cleanliness, neatness, and ensure tables are in agreement with client preferences and departmental standards; rectify deficiencies with respective staff.

Produce details for events (BEO, floor layouts, any other specifics)

Communicate with Director of Food & Beverage regarding any dietary restrictions or preferences

Functions as event closer if necessary; ensuring guest departure, breakdown, and set-up for the next event.

Conduct wedding ceremony rehearsal– includes; instruction for ushers, family seating, and wedding party processional and recessional

Coordinate with outside event staff (DJ, Florist, Videographer) to ensure client satisfaction

Work closely with banquet captain to ensure proper set-up, preparation, execution, and breakdown of all F&B related events

Communicate any areas of need, problems, and concerns from a guest to the Director of Private Events and/or General Manager

Maintains proactive, positive, and open line of communication with the client to ensure understanding of expectations and client satisfaction.

Being a team player is essential; assist staff members in any way you see best fit

Required Knowledge, Skills, and Competences

Knowledge of basic hospitality service standards

Problem-solving skills and deductive reasoning abilities

Excellent organizational skills and time management skills

Able to work under pressure and remain calm to resolve problems using good judgment

Maintain a professional and well-groomed appearance in accordance with our dress code policy.

Experience accommodating dissatisfied clients; a customer-first mindset is crucial

Proficient computer skills and experience using web-based graphic design software is preferred

Bi-lingual English/Spanish is preferred

Qualifications

Minimum 21 years of age to serve alcoholic beverages

Required Certifications

Food Handlers Certificate

California Alcoholic Beverage Commission Certificate
