Overview: The Collections Coordinator actively contributes to the organization and preservation of the Walt Disney Animation Research Library (ARL’s) production art collection as well as activities related to the digitization pipeline project. This role involves processing the physical artwork that has been identified for digitization into the ARL’s collections management database—including placing artwork into correct production order, re‑housing artwork in appropriate archival storage materials, capturing metadata for each piece, and cataloguing into the database. The position also contributes to non‑digitization collections projects, maintains the organization of collection storage spaces, and supports the Research and Exhibition teams in pulling and tracking artwork.

ARL houses more than 65,000,000 pieces of original artwork, including conceptual art, storyboards, maquettes, hand‑drawn production art, 3D models, textures, image files and final rendered images. The Collections Coordinator is an integral member of the Collection, Research, Design and Image Capture Specialists team.

Responsibilities

Re‑house and organize artwork for both the image capture pipeline and non‑digitization collections projects using best museum practices.

Identify and pull original artwork from the vaults, reading and interpreting production documentation and storyboards to determine placement and order.

Determine correct storage for fragile mediums and implement appropriate housing options.

Identify when artwork is not in its correct location and integrate it into the correct scene and archival housing.

Report damaged or high‑risk artwork to supervisor for repair assessment or conservation remediation.

Procure materials and, as needed, construct specialized housing such as pastel trays or maquette boxes.

Catalogue artwork in the collections management system (MuseumPlus) following team procedures, including medium identification, artist identification, measuring, labeling, and metadata consistency.

Collaborate on keyword and nomenclature hierarchy for consistency.

Assist Research and Exhibition teams in identifying, pulling, tracking, and verifying objects slated for exhibition.

Conduct condition reports before shipping and upon return.

Participate in studio outreach events such as in‑studio collections exhibitions and presentations.

Perform additional collections‑related activities as directed by the supervisor.

Basic Qualifications

College degree and at least 3 years of equivalent experience.

Experience handling original art using museum best practices.

Experience cataloguing artwork.

Experience with collections management systems and spreadsheet software.

Familiarity with museum best practices for storing art collections.

Ability to distinguish between art mediums.

Willingness to follow in‑house procedures for artwork handling.

Ability to work collaboratively and independently.

Effective problem‑solving in a high‑stress, fast‑paced environment.

Prioritization skills and ability to meet deadlines.

Appreciation of animation and art history.

Adaptability to new processes and procedures.

Excellent communication, interpersonal skills, and strong attention to detail.

Knowledge of Disney animated films, including character names, artists, and animation elements.

Physical ability to lift, push, pull, or maneuver at least 35 lbs.

Must be available to work onsite Monday‑Friday.

Ability to be a resourceful problem solver and learner.
