The Collections Coordinator actively contributes to both the organization and preservation of the Walt Disney Animation Research Library (ARL’s) production art collection as well as activities related to the digitization pipeline project.

This role involves processing the physical artwork identified for digitization into the ARL’s collections management database. Duties include placing artwork into correct production order by consulting reference materials, re‑housing artwork in appropriate archival storage, capturing metadata, and cataloguing each piece in our system. Additionally, the Coordinator will support non‑digitization collection projects, maintain storage organization, and assist the Research and Exhibition teams in pulling and tracking artwork.

The ARL houses more than 65,000,000 pieces of original artwork—including conceptual art, storyboards, maquettes, hand‑drawn production art, 3D models, textures, image files, and final rendered images. The Coordinator is an integral member of the Collection, Research, Design, and Image Capture Specialists team, working closely with these groups to care for and organize this vast collection.

Responsibilities:

Collections and Art Handling

Re‑house and organize artwork for both the image capture pipeline and non‑digitization projects, using best museum practices.

Identify and pull original artwork from vaults, interpret x‑sheets and production documentation, reconstruct storyline order, and place fragile mediums in appropriate storage.

Determine when artwork is mis‑filed and relocate it to correct production elements.

Identify damaged or high‑risk artwork and report it for repair assessment or conservation remediation.

Implement appropriate storage solutions based on medium, procure materials, and construct specialized housing as needed.

Cataloguing Duties

Consistently catalogue artwork in our collections management system (MuseumPlus) following established procedures and nomenclature.

Perform medium identification, artist attribution, measuring, labeling, and ensure accurate metadata across all films.

Collaborate with team members on keywording and nomenclature hierarchy for consistency.

Additional Collections Related Tasks

Assist Research and Exhibition teams in identifying, pulling, and tracking objects slated for exhibition, verifying mediums and dimensions.

Conduct condition reports before shipping and upon return of artwork.

Participate in studio outreach events, in‑studio collections exhibitions, and presentations.

Receive training from supervisor on additional activities as departmental needs arise.

Basic Qualifications:

College degree and a minimum of 3 years of equivalent work experience.

Experience handling original art using museum best practices.

Experience cataloguing artwork.

Proficiency with collections management systems and spreadsheet software.

Knowledge of best museum practices for storing art collections.

Ability to distinguish between different art mediums (e.g., charcoal, pastel, graphite, acrylic).

Willingness to follow in‑house procedures for artwork handling.

Collaborative and independent work capabilities.

Effective problem‑solving in high‑stress, fast‑paced environments.

Strong prioritization and deadline management skills.

Appreciation and interest in animation and art history.

Adaptability to new processes and procedures.

Excellent communication, interpersonal skills, and attention to detail.

Knowledge of Disney animated films, including character names, artists, and animation elements.

Physical ability to lift, push, pull, or move a minimum of 35 lbs of materials or supplies.

Resourceful problem‑solving and learner orientation.

Must be available to work onsite 5 days per week (Monday‑Friday).

The hiring range for this position in Glendale, CA is $53,200 to $68,700 per year based on a 40‑hour work week. Hours scheduled per week may vary. Base pay will take into account internal equity and may vary based on geographic region, job‑related knowledge, skills, and experience. A bonus and/or long‑term incentive units may be provided as part of the compensation package, along with a full range of medical, financial, and other benefits.
