Administrative Assistant – UHNW Family Office

The Role:
We are seeking a bright, highly discreet Administrative Assistant to support a prominent Family Office and Private Residence. This is a dynamic “hybrid” role that requires a blend of professional office administration and high-touch personal support.
The ideal candidate is a proactive problem-solver who possesses exceptional judgment and the ability to navigate both a corporate boardroom and a private household with ease.
Core Responsibilities
Executive Coordination:
Manage complex calendars, coordinate appointments, and handle scheduling for both professional and personal obligations.
Logistical Support:
Serve as the “connective tissue” between the family’s NYC office and private residence, including running sensitive errands and ensuring seamless operations between both locations.
Vendor Relations:
Act as a professional point of contact for external vendors and service providers; must be well-spoken and able to negotiate and follow up effectively.
Project Management:
Anticipate needs before they arise, thinking through challenges independently while maintaining a high level of respect for family privacy.
Digital Support:
Utilize Outlook for heavy scheduling and Excel for basic tracking and organizational tasks.
Candidate Profile
Experience:
2–3+ years of administrative experience, ideally within a Family Office, Luxury Brand, or high-level Corporate environment.
Discretion:
Absolute commitment to confidentiality and the ability to handle sensitive information with a high degree of “quiet” professionalism.
Communication:
Exceptionally well-spoken with a polished phone presence and clear written skills.
Technical Skills:
Proficiency in Microsoft Office (specifically Outlook and Excel).
The “Right” Mindset:
A “no task is too small” attitude paired with the intellectual horsepower to work with minimal guidance.
