Objectives of This Role
The Project Manager is a specialized role focused on the strategic execution and lifecycle management of media‑centric campaigns. This position requires a deep understanding of media workflows, vendor integration, and the technical nuances of print and digital media deployments. This role is the central hub between media strategy, finance, and external vendors, and you will project manage the planning and implementation of complex media programs. Advertising media agency experience is preferred.
Key Responsibilities
Project manage media projects from initial analysis and design through to development and final delivery.
Oversee project planning and implementation, ensuring all deliverables meet strict budget and timeline requirements.
Support the broader media team by integrating vendor timelines, internal and external partner agency milestones into cohesive execution plans.
Manage multiple projects from simple to complex through all phases of life‑cycle development, including analysis, design, development, and final delivery.
Develop and manage detailed timelines and estimates for custom media programs.
Develop timelines for custom programs incorporating media vendor timelines, internal and external partner agency timelines, and client PRC timing.
Partner with the media team to communicate with external vendors and partner agencies regarding campaign asset development, approvals, and activation.
Track media invoicing reconciliation with finance and the media team, ensuring finance is billing accurately.
Oversee the financial health of assigned projects, track burn rates and cost‑to‑completes, manage change requests, and connect with media leads as needed on burn reports.
Provide regular updates to internal teams on project status, including sharing client status learnings with the media team.
Support the media team in rolling out new processes and automation, and assist with EOY campaign closeouts.
Collaborate with account teams to develop statements of work and forecasts.
Manage routing of deliverables (including managing Ziflow) and follow up with the team during routes to ensure timely reviews.
Handle project administrative duties, such as opening vendor POs, communicating EOD deliverables via Canvas, providing SharePoint links for client review, and creating Airtable tickets and Slack channels.
Ensure all projects follow agency process and support senior colleagues across programs or complex deliverables.

Excellent organizational skills, attention to detail, and poise under pressure in a fast‑paced environment.
Ability to build strong relationships and collaborate with account, creative, brand strategy, digital, and media teams.
Effective negotiation, conflict management skills, and resourcefulness.
Requirements
3+ years of project management experience, preferably in a media healthcare advertising agency setting.
Experience managing print, digital, social media, paid search, and other media projects.
Strong familiarity with project management software tools, methodologies, and best practices.
Proficiency in project management applications; Mac experience helpful.
