Operations Office Assistant
The Operations Office Assistant supports the Center for Civic Engagement (CCE) by contributing to the execution of key operational processes that enable community-engaged learning and programming.
Working with increasing independence, the assistant will support transportation coordination, facility requests, and core administrative workflows that ensure the smooth functioning of the Center.
Primary responsibilities include supporting student transportation requests for required community engagement activities, assisting with CCE facility requests, and contributing to broader operational and administrative tasks.
The position is expected to work approximately 6 hours per week, with a schedule determined in coordination with the supervisor.
Specific Duties
Assist in processing Community Engagement Transportation Requests, including assigning rideshare services and coordinating charter transportation for CBL classes and programs; request vendor quotes as needed
Support the coordination and tracking of transportation logistics to ensure timely and accurate execution
Collaborate with the Operations Coordinator on record keeping, data entry, auditing, and preparation of documents and basic data reports
Assist in supporting CCE facility requests and scheduling needs, including maintaining shared calendars (e.g., THC 239 Conference Room)
Contribute to general office operations, including welcoming and directing guests, answering phones as needed, and organizing office materials
Support ongoing improvements to operational systems (e.g., Airtable workflows, request tracking, documentation) as needed
Other duties as assigned by CCE Operations staff
Qualifications
Interest in learning and working with Airtable and operational data systems
Comfortable learning new tools and software platforms
Strong organizational skills and attention to detail
Strong written and verbal communication skills
Adaptable, reliable, and able to problem-solve in dynamic environments
Proficient in Microsoft Excel or Google sheets
Interest in community engagement and connecting University work with the Richmond community
Experience in leadership roles (at UR or prior) preferred
Experience with customer service, data analysis, or CCE programs is a plus, but not required
