Appraisal Production CoordinatorLocation: Tigard, OregonWork Type: Full-timeWork Arrangement: In-office preferred, with potential hybrid flexibility in the futureCompensation: $60,000-$70,000, depending on experiencePosition SummaryThe Appraisal Production Coordinator helps manage the many moving parts of appraisal assignments from inquiry through final delivery. This role includes quote-request research, client and scheduling coordination, file setup and organization, research, report production support, proofreading, formatting, final delivery preparation, and ongoing workflow tracking across active assignments.This role is designed to improve efficiency, reduce administrative and production burden on the partners, and help maintain a high standard of organization, responsiveness, and final work product quality.This is not a valuation role. Independent appraisal analysis, development of opinions and conclusions, and report signing remain with licensed appraisers.Key ResponsibilitiesResearch and Assignment SetupAssist with quote requests, preliminary assignment research, and bid supportGather and organize background materials needed for engagement and service agreement preparationSupport file creation, assignment setup, and initial data pullCollect and organize public-record, property, and other factual background information for appraiser useHelp confirm factual items and support materials during report developmentWorkflow CoordinationTrack assignments from inquiry through delivery, including deadlines, milestones, follow-up items, and next stepsMaintain assignment checklists and status tracking across approximately 15 to 25 active files per monthCoordinate scheduling for inspections, calls, deadlines, and deliverablesIdentify missing items, bottlenecks, and follow-up needs proactivelyHelp keep assignments moving efficiently through the production processClient Communication and Administrative SupportAssist with routine client communication, scheduling coordination, and status updatesSupport engagement-related communication and document follow-upDraft or send professional written correspondence as appropriateMaintain professionalism, responsiveness, and discretion in all communicationsHelp reduce the volume of routine coordination work handled directly by the partnersReport Production SupportAssist with basic report build-out and template populationCompile supporting materials, exhibits, maps, photos, and related documentsHelp organize workfiles and supporting documentationSupport report preparation tasks prior to final appraiser reviewAssist with administrative and production tasks that improve consistency and efficiencyProofreading, Formatting, and Final DeliveryProofread appraisal reports for grammar, formatting, consistency, completeness, and professionalismReview reports for missing exhibits, attachment issues, inconsistent dates, naming issues, and formatting errorsHelp ensure final reports are polished, complete, and presentation-readyPrepare reports and related files for final PDF assembly and delivery to clientsCRM and File ManagementMaintain CRM records, contact information, assignment stages, and follow-up tasksHelp support future workflow adoption into HubSpot, Toggl, Airtable, and related systems as implementedOrganize digital file structures, naming conventions, and assignment recordsMaintain orderly workfiles and document storage across active assignmentsWhat Success Looks LikeSuccess in this role means helping the firm operate more efficiently, reducing administrative and production burden on the partners, improving document quality and consistency, maintaining strong organization across active assignments, and contributing to a smoother and more scalable workflow.QualificationsExcellent written and verbal communication skillsStrong research, proofreading, formatting, and document production abilityExceptional attention to detail and follow-throughStrong organizational skills and ability to manage multiple deadlines and prioritiesAbility to work calmly and accurately in a fast-paced, deadline-driven environmentStrong judgment, professionalism, and discretionProficiency with Microsoft Outlook, Word, Excel, Adobe Acrobat/PDF workflows, and general office technologyAbility to learn specialized appraisal terminology, workflow, and internal systems quicklyPreferred BackgroundExperience in one or more of the following environments is strongly preferred:Real estate transaction coordinationLegal assistant or litigation supportAppraisal firm administrative or production supportTitle and escrow operationsCommercial or residential real estate analyst supportExecutive assistant or project coordinator roles in detail-heavy professional servicesMortgage processing or underwriting supportParalegal-style document production environmentsReal estate or appraisal experience is attractive but not required.
