Job Summary
The Dispatcher serves as the operational control point for coordinating personnel, vehicles, equipment, and service activities. This role ensures efficient resource deployment, real-time communication, and rapid issue resolution while maintaining compliance with safety, regulatory, and customer service standards. Dispatchers must balance multiple competing priorities in a fast-paced, high-pressure environment.
Operational Coordination
- Receive, review, and prioritize incoming service requests, delivery orders, or emergency calls
- Assign traffic controllers based on availability, skill level, location, and job urgency
- Develop and maintain daily, weekly, and shift-based dispatch schedules
- Monitor active jobs to ensure adherence to timelines, routes, and service-level agreements (SLAs)
- Reassign or reroute resources in response to traffic, weather, equipment failure, staffing shortages, or emergencies
Communication & Liaison Duties
- Act as the primary communication hub between field staff, supervisors, vendors, and customers
- Maintain constant contact via phone, messaging platforms, and dispatch software
- Provide clear instructions, updates, and safety guidance to employees in the field
- Communicate service delays, ETA adjustments, or emergency notifications to customers and stakeholders
- Escalate operational or safety concerns to management as necessary
Monitoring & Tracking
- Track vehicles, personnel, and assets using GPS and dispatch management systems
- Monitor real-time operational data (location, progress, duration, downtime)
- Confirm check-ins, job completions, and shift changes
- Identify inefficiencies, bottlenecks, or potential service disruptions
Documentation & Reporting
- Accurately document all dispatch activities, communications, and incidents
- Maintain logs, call records, run sheets, incident reports, and service confirmations
- Ensure all dispatch records meet legal, regulatory, and audit requirements
- Prepare operational reports related to response times, productivity, and service outcomes
- Support billing, payroll, and compliance processes through precise data entry
Safety & Compliance
- Enforce company safety protocols and operational procedures
- Monitor compliance with DOT, OSHA, and other applicable regulations (when applicable)
- Respond to accidents, incidents, or emergencies following established escalation procedures
- Coordinate emergency response and support services when needed
Customer Service
- Provide professional, calm, and courteous interaction with customers always
- Address customer inquiries, complaints, and service concerns
- Provide accurate status updates and realistic expectations
- De-escalate high-stress or emotionally charged situations with professionalism
Required Qualifications
- High school diploma or GED (required)
- 2+ years of dispatcher, logistics, operations, or call-center experience (preferred)
- Demonstrated ability to multitask and prioritize in a fast-paced environment
- Strong verbal and written communication skills
- Proficiency with computers, dispatch software, and Microsoft Office or similar tools
Preferred Qualifications
- Dispatcher certification (e.g., emergency, transportation, or industry-specific)
- Knowledge of local geography, traffic patterns, and service zones
- Experience with GPS tracking systems and fleet management software
- Bilingual communication skills (industry/location dependent)
