This position offers a unique opportunity to provide high-level administrative and executive support within a prestigious Litigation Practice Group. Position Overview
Adams & Martin Group has partnered with a leading law firm to find an experienced Executive Litigation Secretary to join their dynamic team in Downtown Los Angeles (DTLA). This position offers a unique opportunity to provide high-level administrative and executive support within a prestigious Litigation Practice Group. The role is perfect for someone who thrives in a fast‑paced environment and enjoys managing complex tasks with precision.
Responsibilities
Partner with a team of Legal Executive Assistants to support litigation attorneys.
Coordinate day‑to‑day operations for assigned partners, ensuring seamless workflow.
Handle a wide range of administrative tasks, including:
Scheduling meetings and managing calendars.
Preparing reports, meeting materials, and editing documents.
Entering time, processing expenses, and responding to correspondence.
Providing technical support and answering calls.
Manage client onboarding, billing, and relationship activities.
Organize complex domestic and international travel arrangements, including flights, accommodations, car service, visas, and dining reservations.
Collaborate with other firm departments and provide backup support as needed.
Top Three Must‑Haves
Strong e‑filing skills
(state & federal), formatting/editing/proofreading, and calendaring.
Executive Assistant experience
– managing complex calendars, communicating with high‑level clients, preparing for meetings, coordinating travel, etc.
Positive, proactive attitude
– friendly, outgoing, hardworking, eager to contribute, and anticipatory of attorney needs.
Qualifications
Bachelor's degree preferred or equivalent experience.
Minimum
5 years of relevant experience , ideally in a law firm environment.
Exceptional communication skills, attention to detail, and ability to prioritize in a fast‑paced setting.
High level of integrity and discretion in handling confidential information.
Ability to work overtime as needed.
Required Work Hours
Monday through Friday, 7.25‑hour workdays with a flexible start time between 7:45 AM and 9:00 AM.
