A respected downtown San Diego law firm is seeking an experienced Litigation Administrative Assistant to support attorneys in a fast-paced Commercial Business Defense / Civil Litigation practice. This role is ideal for a proactive, detail-oriented professional who thrives in deadline-driven environments and enjoys being an integral part of the litigation process.
Position Overview
The Litigation Administrative Assistant will play an active role in managing each attorney's caseload and providing comprehensive administrative and litigation support throughout all phases of a case. This position requires strong organizational skills, exceptional written and verbal communication, and deep familiarity with both State and Federal litigation procedures.
Key Responsibilities
Maintain attorney calendars, schedule hearings, depositions, mediations, client meetings, and court deadlines
Prepare, revise, proofread, and finalize correspondence, pleadings, and other legal documents
Perform State and Federal e-filing in multiple courts and jurisdictions
Assist attorneys through all phases of litigation, including trial preparation and attendance (as needed)
Communicate professionally with clients, court staff, opposing counsel, and vendors
Arrange attorney travel and process monthly expense reports
Run conflict checks and assist with opening new client and matter engagements
Maintain and organize electronic files and document management systems
Set up and maintain client billing requirements; assist with billing and client invoices
Update and maintain contact databases
Handle additional administrative and clerical assignments as delegated
Qualifications
Minimum of four (4) years of recent State and Federal litigation experience in a law firm environment
Extensive experience supporting attorneys in Civil Litigation, preferably Commercial Business Defense
Strong e-filing experience in both State and Federal courts
Excellent writing, proofreading, and communication skills
Ability to manage shifting priorities and tight deadlines with accuracy and professionalism
Proficiency with Microsoft Office Suite (Word, Outlook, Excel)
Experience with document management systems, docketing systems, and billing/time entry software is highly preferred
Self‑motivated, detail‑oriented, and collaborative team player
Top Three Requirements
E‑filing experience (State & Federal) – minimum 4 years
Strong litigation background, with experience in Commercial Business Defense preferred
Excellent written and verbal communication skills
Compensation & Benefits
Salary Range:
$70,000 – $95,000 annually, depending on experience
Eligibility for merit‑based raises
Comprehensive benefits package including healthcare, retirement plans, and paid time off
Work Schedule
Full‑time, 40‑hour workweek
Hours:
8:30 AM – 5:00 PM, Monday through Friday
30‑minute lunch break
