JOB DESCRIPTION
This role supports the Strategy and Operational Excellence team by designing, improving, and validating Smartsheet trackers, dashboards, reports, and workflows used for budgeting, analysis, and operational visibility. The advisor partners with Global Oncology Medical Affairs and US Medical Affairs teams to confirm business requirements for Externally Sponsored Research processes and translates those needs into functional Smartsheet solutions. The position performs QA and UAT on all new or updated Smartsheet assets, ensuring accuracy, usability, and a strong user experience. The advisor develops clear communication and change‑management materials for Program Managers and other stakeholders, participates in weekly office hours and team meetings, and provides monthly status updates to leadership. The role also leads a post‑implementation survey for FY26 Smartsheet trackers, conducts follow‑up interviews, and delivers recommendations for system and workflow improvements. Additional responsibilities include running routine Smartsheet reports when the Administrator is unavailable, building new Smartsheet assets as needed, and identifying opportunities where Power BI enhancements could improve reporting and user experience.
QUALIFICATIONS & RESPONSIBILITY
- MUST HAVE Smartsheet user-experience advisor
- Support the S&OE Smartsheet Administrator with advice and help in creating new trackers, dashboards, reports, and views for GOMA budgeting and analysis.
- Validate Externally Sponsored Research ( "ESR”) business requirements through team-based interviews with the GOMA, US Medical Affairs "USMA” and ESR groups, then help design solutions to meet those needs.
- Perform QA and UAT on all newly developed or enhanced Smartsheet trackers and dashboards.
- Create communications and change management materials targeting S&OE Program Managers and/or GOMA stakeholders about updates. Approved communications will be distributed by the Smartsheet Administrator or Executive Director, S&OE
- Attend weekly Smartsheet office hours, taking notes and action items.
- Participate in agenda-based S&OE team meetings.
- Prepare and share a monthly status report with the Executive Director, S&OE, and Director, Finance & Operational Excellence.
- Design and conduct a FY26 Smartsheet tracker post- implementation survey targeting the S&OE Program Managers. Timing of survey to be mutually determined with Smartsheet Administrator.
- Based on survey results, conduct up to five interviews with Program Managers and other identified stakeholders to further validate survey findings. Develop recommendations from the survey and interviews for consideration by the Smartsheet Administrator and Executive Director, S&OE
- Run routine Smartsheet reports/workflows when the Administrator is absent to help maintain reporting continuity.
- Build Smartsheet assets as requested, on an exception basis.
- Recommend potential Power BI enhancements to enhance the user experience.
