Part-time Program Assistant

Salary: $18.61 - $24.71 hourly* Department: Social Sciences and Humanities Division Reports to: SSH Program Specialist 3 This is a part-time classified position. All classified positions will start their salary at Step A*. When you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Association (WPEA) Union.
Olympic College is recruiting for a Part-time Program Assistant. The Program Assistant within SSH (Social Sciences & Humanities) provides comprehensive program support to the Program Specialist 3. This role assists with coordination, communication, data tracking, and stakeholder engagement to ensure programs and projects are implemented efficiently and align with organizational goals. The Program Assistant plays a key supporting role in maintaining workflows, supporting cross-functional collaboration, and contributing to the overall success of division priorities.
Essential Functions

Handles front office duties for the SSH Division Office.
Serve as the first point of contact for the SSH Division Office, greeting visitors and responding to inquiries in person, by phone, and via email
Direct students, faculty, staff, and external stakeholders to appropriate personnel or resources
Monitor office supplies and submit requests to maintain adequate inventory
Assist with data entry, recordkeeping, and tracking of administrative requests or workflows
Ensure front office procedures align with institutional policies and provide a welcoming, professional environment
Keep paper stocked and refill paper in printers as needed
Post class cancellations
Provides direct support for Program Specialist 3 in the pursuit of their official duties.
Assist the Program Specialist 3 with day-to-day administrative and programmatic activities
Track program activities, milestones, and deliverables to support timely implementation
Maintain organized records, databases, and documentation related to programs and projects
Support data collection, entry, and basic analysis for reporting and assessment purposes
Facilitate communication between the Program Specialist 3 and internal/external stakeholders
Assist with planning and logistics for program meetings, events, and trainings
Monitor action items and follow up on assigned tasks to ensure completion
Provide general operational support to help ensure program goals and division priorities are met
Serve as minute taker for tenure meetings as requested by Program Specialist 3
Qualifications

Minimum Qualifications
High School Diploma or Equivalent
Experienced with Microsoft Office Products
Preferred Qualifications
Experience within an office setting.

Please note that we are unable to sponsor visas for this position. Only candidates who are currently authorized to work in the United States will be considered.
Hourly employees must work 480 hours in a rolling six-month period to become eligible for health benefits. Hourly employees must work 70 hours in any five months for two consecutive years to become eligible for retirement. This is an hourly position scheduled to work up to 18 hours per week, with a salary of $18.61 - $24.71 per hour*. They are not initially eligible for benefits upon hire, but could qualify for the following.
This is a part-time classified position. All classified positions will start their salary at Step A. When you have completed six months of probation, you will receive a 5 percent pay increase.
