Operations Specialist II

Performs operations tasks associated with multiple types of deposit operations functions, possibly including but not limited to, client account maintenance, compliance with regulations concerning missing/invalid TINs, Automated Clearinghouse (ACH), wire transfers, exception processing, and client and processing account-level documentation.

What You Will Be Doing

Perform client account maintenance as requested by the client through the bank's branches and centralized client service center.

Perform duties related to ACH operations, especially ACH originations.

Be able to answer complex questions and issue relating to account transactions.

Process B- and C-Notices as received from the IRS for invalid/missing Tax Identification Numbers on client deposit accounts.

Participate as needed in daily OFAC screening of accounts using the bank's OFAC tool.

As assigned, participate in other department initiatives or projects designed to enhance operational efficiencies and effectiveness.

Participate in upgrading systems and processes as required.

Assist Deposit Operations Manager to stay current on applicable laws and regulations pertaining to deposit operations.

Ensure that procedures for assigned functions are complete and current.

High school diploma or GED; and at least 3 years' experience with operations in a financial institution; either in a front line direct client contact capacity or in an operational support role.

Several years of general bank deposit operations knowledge and experience strongly preferred, with ability to perform various duties. Knowledge of ACH operations is also preferable.

Ability to look for opportunities beyond existing processes to improve operational efficiencies and effectiveness.

Demonstrated ability to write detailed operating procedures; excellent oral and written communication skills are required. Strong client service focus required.

As a successful member of Commercial Operations, you will be asked to meet and exceed department service and quality standards, while maintaining consistent levels of communication with external customers and colleagues. Specialist will perform root cause analysis to identify potential solutions and process improvement opportunities for recurring service issues. In addition, they will support the implementation of solutions that will ultimately improve Service Level, decrease operational effort, and increase the overall client experience.
You will also be responsible for (but not limited to) the following:
Serve Cash management, ACH and Commercial Card customers via request received by telephone, chat, or email.
Research and train clients on all products offered.
Independently service both internal and external customers on a wide variety of Commercial Card, ACH & cash management products, services, and technical issues through all incoming channels.
Diagnose, prioritize, resolve and/or escalate all technical, system, or procedural issues
Partner with various operational support staff in the reconciliation of client problems while attempting to limit future occurrences.
Proactively advise management of impending problems or obstacles to meeting service standards.
Qualifications:
Candidates must possess excellent verbal/written, time management, ability to multitask, interpersonal skills. The candidate must be goal driven with a desire to productivity goals; including meeting day to day business needs, with advanced problem-solving skills/ability to negotiate through difficult situations.
5 Years of customer service and Call Center experience; banking experienced preferred
Excellent phone communication and listening skills.
Ability to prioritize and manage daily workload.
Ability to multi-task and work independently in a fast-paced work environment.
Computer proficiency and acumen
Self-motivated attitude with a desire to succeed.
Analytical skills and the ability to recognize trends (Ability to exercise considerable independent judgment and attention to detail)
Education:
High School (GED Equivalent), bachelor's degree preferred.

Hours per Week: 40
Work Schedule: Tuesday through Saturday 2pm-10:30pm (including all holidays- working days and shifts are subject to change) with Sunday & Monday off

Responsibilities

Maintaining financial records by processing daily, weekly, and monthly transactions to be certain that books balance at the end of the day.
Insuring proper funding for daily ACH or wire settlements with external clients, servicers or vendors.
Resolving errors by performing complex reconciliations and following procedures to determine and process adjusting entries to maintain accurate financial records on general ledger.
Develop and maintain procedures
Identifying process gaps, risks, and efficiencies
Application of GAAP and internal Accounting Policies specifically for but not limited to expense and income recognition.
Applying Corporate Accounting Policy standards to all functions
Ensuring proper controls are in place for all processes and recommend process improvement where necessary including updating procedures, process flows, and other product documentation
Actively participating in new and existing projects
Provide Support to Accounting Managers on projects
Prepare reporting for internal presentations or external delivery
Qualifications

BA/BS degree in Accounting or Finance required
3-5 years of professional experience in an operational and or accounting/finance role
Intermediate in Microsoft Office - specifically excel including V-lookups, H-Lookups, Pivots, Table and Graph creation
Ability to work individually and collaboratively across multiple teams
Experience performing in an ever-changing environment with proven ability to multitask
Strong Accounting background with experience in detailed research and analysis
Ability to work in a fast paced, deadline driven environment
Excellent understanding of accounting principles (GAAP, FASB)
Excellent analytical skills and detail oriented
