Accounting Specialist

A well-established California law firm is seeking an Accounting Specialist to join its Finance team. This role is ideal for a detail-oriented professional with strong payroll and accounts payable experience who thrives in a fast-paced, deadline-driven environment. The Accounting Specialist will play a key role in supporting financial operations, ensuring accurate payroll processing, managing vendor payments, and maintaining compliance with firm policies.

Responsibilities:

Payroll:

Process semi-monthly and off-cycle payroll using the firm's HRIS (Dayforce)
Ensure accurate calculation of wages, deductions, and withholdings
Process wage garnishments, levies, and other court-ordered payments
Review timesheets for accuracy prior to payroll processing
Maintain and update employee payroll records, including terminations and status changes
Resolve payroll and benefits discrepancies and respond to employee inquiries
Maintain payroll documentation and ensure compliance with internal controls
Generate and provide monthly payroll reports to management
Maintain strict confidentiality regarding employee compensation and sensitive HR matters

Accounts Payable:

Process daily accounts payable and review vendor invoices
Set up and maintain vendor accounts
Reconcile expense reports and credit card statements for attorneys and staff
Ensure compliance with firm expense policies
Prepare and issue payments, including vendor and trust checks
Obtain required approvals and signatures for payments
Support month-end and year-end accounting close processes

Additional Responsibilities:

Assist with financial reporting and accounting department projects
Maintain accuracy and attention to detail under tight deadlines
Collaborate with attorneys, staff, vendors, and leadership
Provide support for other accounting and finance functions as needed

Qualifications:

Bachelor's degree preferred or equivalent work experience
5+ years of progressively responsible experience in payroll and accounts payable
Experience in a law firm or professional services environment preferred
Experience with accounting systems such as SurePoint preferred
Strong understanding of payroll processes, compliance, and internal controls
High level of integrity and ability to maintain strict confidentiality
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Ability to work under pressure in a fast-paced, deadline-driven environment
Strong interpersonal skills with the ability to communicate with attorneys, staff, and vendors
Proficiency in Microsoft Office and accounting systems

Job Summary

Essential Duties/Responsibilities

Oversee the timekeeping and job costing system to ensure accurate and timely collection of data for payroll processing.

Enter new hires, process updates and terminate employees in the payroll system.

Enter payroll data and process weekly payroll.

Process and remit payments for garnishments, levies and other payroll deductions.

Maintain, enter and process weekly per diem payments.

Review employee expense reports for policy conformance, enter in the system and process payments.

Assist with preparation of monthly union reports and annual union audits.

Assist with preparation of all payroll tax payments and filings.

Respond to payroll inquiries and information requests, including unemployment claims.

Maintain accurate records.

Assist controller with special projects.

Support the overall accounting department and other employees on the team.

Regular attendance at work is an essential job duty.

Other tasks as assigned.

Conform to company Quality, Environmental, and Safety policies, any environmental laws, regulations, standards, and other requirements such as permits to operate.

Process company (including out of state) payroll twice a month: manually and electronically process timecards from all departments in Quest and its acquired companies, input and transmission into ADP and verify accuracy of overall payroll.

Use tools provided to double check entry into ADP.

Reconciling ADP payroll reports for accuracy.

Addressing, researching, and resolving payroll discrepancies. Provide support for employee inquiries related to payroll issues.

Maintaining employee records related to payroll data.

Provide relevant and accurate reports when asked.

Assisting with internal and external audits relating to payroll.

Collaborate with Human Resources and Accounting teams.

Ensure compliance with relevant laws and internal policies.

Upload child support garnishments and state/federal garnishments (i.e Franchise Tax Board and IRS) to ADP for processing.

Track vacation and personal time off accruals utilizing ADP.

Process quarterly Multiple Worksite Report (MWR), also known as the BLS 3020 form in accordance with state laws.

File and organize paperwork with attention to detail and within audit compliance.

Job Specifications – Knowledge & Skills

5-7 years of experience in payroll processing, with emphasis on manual timesheets.

Proficient in ADP Workforce Now software, Microsoft Excel and Word.

Basic math, bookkeeping, and accounting skills.

Must have state/federal prevailing wage expertise.

Strong attention to detail and excellent organizational skills required.

Ability to keep information confidential.Must have the ability to multi-task in a challenging environment.
