Administrative Assistant

POSITION PURPOSE
The Administrative Assistant for the Digital Teaching & Learning and Information Systems departments provides high-level administrative, financial, and technical support to district leadership. This position serves as a critical operational bridge between instructional technology, information systems, finance, vendors, and schools.
The Administrative Assistant is responsible for managing budgets and purchasing for technology-related resources (including computers, Chromebooks, servers, and software), supporting federal and state funding requirements (including E-Rate), maintaining accurate financial and contract records, and serving as a first line of support for basic technical troubleshooting and service coordination.
This role requires strong organizational skills, technical comfort, and the ability to work independently within district guidelines while exercising sound judgment in a fast-paced, service-oriented environment.
KNOWLEDGE, SKILLS, AND ABILITIES :
Knowledge of district policies and procedures
Ability to use correct grammar, vocabulary, spelling and punctuation
Ability to maintain confidential information related to the school system as a whole, as well as groups of stakeholders such as students and staff members
Ability to communicate effectively, both orally and in writing, including preparing complex reports
Ability to establish and maintain effective working relationships with district and school administrators, teachers, support staff, and other community groups
Ability to perform advanced bookkeeping, budgeting, and documenting required for local, state, and federally funded programs.
Ability to multitask in a fast-paced environment
Ability to maintain complete and accurate records and to develop standard reports from those records.
Considerable knowledge of common word processing, spreadsheet, electronic mail, and file maintenance programs.
Ability to generate correspondence, spreadsheets, and reports independently
Technical comfort and problem-solving ability to serve as first-line support for basic technology issues and to triage requests to appropriate technical staff
EDUCATION, TRAINING, AND EXPERIENCE :
High School Diploma or GED
Experience with providing office support
Any equivalent combination of training and experience that provides the required knowledge skills, and abilities
PREFERRED QUALIFICATIONS
Associate's Degree from an accredited institution in the field of secretarial science, human resources, public relations, office management or other related field
Three (3) years of experience in an office setting supporting a district level administrator
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide administrative support to the Executive Director of Curriculum & Instruction and Director of Digital Teaching & Learning
Manage calendars, schedule appointments, and coordinate meetings, conferences, and interviews
Answer and route telephone calls; receive, transcribe, and deliver messages
Receive, date-stamp, process, and distribute incoming mail and correspondence
Assist visitors and callers by responding to questions, inquiries, and requests for information
Compile operational statistics and gather data for reports, audits, and planning purposes
Manage departmental budgets for Digital Teaching & Learning and Information Systems
Prepare and monitor purchase orders for technology hardware, software, services, and supplies
Track expenditures and reconcile accounts to ensure accuracy and compliance
Review budget adjustments, additions, and deletions across multiple account codes
Prepare monthly financial reports, timesheets, and related documentation
Maintain databases and records for financial reporting and audits
Support federal and state funding compliance, including E-Rate documentation, tracking, and reporting
Serve as a liaison with finance staff and vendors regarding purchasing, invoicing, and contract compliance
Perform other duties as assigned by the Executive Director of Curriculum & Instruction and Director of Digital Teaching & Learning
