We are looking for a steady, warm, service-oriented professional who takes pride in being the welcoming face of the firm, thrives in structured environments, and finds fulfillment in supporting others through consistent, high-quality administrative work.
This is a full-time, in-office role
(Monday–Friday) based in our Coral Gables office.
Key Accountabilities
Client & Visitor Experience
Serve as the first point of contact welcoming clients, prospects, vendors, and team members.
Maintain a warm, professional, and polished front office atmosphere at all times.
Answer, screen, and route calls with care, accuracy, and discretion.
Office Operations & Logistics
Manage all incoming/outgoing mail, package deliveries, and bulk mailings.
Maintain office, kitchen, and supply inventory; coordinate vendor orders as needed.
Liaise with building management and service providers to ensure smooth operations.
Ensures the office environment is neat and orderly, reflecting the firm’s high standards.
Administrative & Document Support
Scan, organize, and maintain critical client and firm documents.
Prepare and send DocuSign envelopes accurately and promptly.
Perform precise data entry and administrative updates within CRM systems.
Firm-Wide Support
Assist internal teams with administrative tasks and operational projects.
Maintain confidentiality and uphold firm values in all interactions
Ensure timely and accurate completion of all responsibilities.

Qualifications
Bachelor’s degree preferred.
Prior experience as a receptionist, administrative assistant, or office coordinator preferred.
Proficiency in Microsoft Office Suite.
Familiarity with CRM systems is a plus.
Exceptional communication skills, both written and verbal.
Strong organizational skills and meticulous attention to detail.
Ability to work both independently and collaboratively.
Thoughtful problem-solving abilities and sound judgment.
