
Warehouse Coordinator

This role leads warehouse operations and coordination to ensure accurate and timely loading/unloading of products, yard movements, and efficient shipping/receiving, with entry of information into the manufacturing computer system.
Responsibilities
Reporting to the Department Manager, oversee the loading/unloading of products or materials to/from carrier trailers, coordinate yard movements, manage external transfers, maintain an efficient shipping/receiving schedule, and enter information on incoming and outgoing goods into the manufacturing system. Depending on site needs, the role may handle any combination of receiving, shipping, scheduling & dispatching or focus on one function.
Adhere to health and safety policies and GMPs; wear required PPE in warehouse or production areas.
Ensure food quality and food safety per corporate, customer, and governing body standards (e.g., SQF).
Check in carrier drivers, assign dock doors, dispatch and coordinate yard trailer moves.
Maintain accurate records of loaded trailers, conduct yard checks, issue daily status updates, and process required paperwork (e.g., trailer sheets). Ensure loads are released for loading.
Perform shipping/receiving administrative duties (filing, reports, clerical tasks).
Coordinate raw materials deliveries for production; verify against packing lists and COAs.
Coordinate with Customer Service to ensure sufficient product for required ship dates.
Verify raw materials, concentrates, ingredients, packaging materials, and pallets to support upcoming production schedules.
Coordinate dunnage and recycling inbound and DOMR or raw materials; ensure efficient loading of dunnage trailers.
PGI all finished goods shipments and prepare necessary paperwork (e.g., Bill of Lading or STOs) for Co-pack plants.
Prepare Bill of Lading or customs information and paperwork for invoicing; complete post goods issue in SAP.
Verify carrier appointment availability and reschedule if no-show, using the dock schedule.
Perform daily cycle counts and recounts on raw materials; collaborate with Inventory Control as needed.
Review delivery documentation for completeness; document and follow up on any discrepancies; inform management of inventory variances.
Ship lab samples or other packages nationally or internationally via courier as required.
Inspect seals, locks, and potential damage on loaded/unloaded trailers and report issues.
Release carrier drivers after loading/unloading and address driver issues as needed.
Monitor shipments, coordinate deliveries, issue shipping instructions, track and expedite shipments.
Verify order completion by forklift operators prior to finalizing paperwork.
Coordinate product transport between internal warehouses or to offsite/3rd party warehouses.
Verify pallet counts and type (Peco, Chep, GMA) and adjust SAP counts as needed.
Reconcile invoices to purchase orders in SAP Open Text.
Maintain clean receiving docks and raw material storage areas; keep the work area orderly.
Track door service status and coordinate repairs with Manager/Maintenance.
Assist with dispatching and billing duties as needed.
Represent the company in a positive, professional manner.
Qualifications
Required Skills
Proficiency with Warehouse Management System and Microsoft Office (Excel, Word, Outlook).
Confident computer skills for internet navigation and customer portals.
Knowledge of hazmat shipping requirements and DOT specifications for loads.
Valid forklift certification from a Refresco-approved trainer.
Ability to multitask.
Competencies
Communication: Clear and effective communication with team members and other departments.
Numeracy: Ability to perform unit conversions and basic math.
Teamwork: Ability to work collaboratively within a team.

Education and Experience
High school diploma or equivalent required; associate degree or higher preferred.
Minimum 2 years of warehouse shipping and receiving experience; experience in Inventory Control or Customer Service is a plus; Food/Beverage Manufacturing preferred.
Proficiency with SAP: Supply Chain Dynamic Menu / Dock Scheduling / PGI Reporting / Receiving functions.
Working Conditions
Schedule: Weekdays, weekends, afternoons, evenings, overnight and holidays as needed; overtime may be required.
Environment: Fast-paced production plant with high truck volume; noise requires hearing protection; temperatures can be hot or cold; structured and supervised environment.
Physical/Mental: Regular attention to detail; deadline and production quota pressures.
