Job Summary:
The Inventory Exceptions Coordinator is responsible for identifying, managing, and resolving all purchasing, receiving, and order‑related discrepancies across the organization. This role serves as the central point of ownership for exceptions, ensuring timely resolution, accurate system updates, and clear communication between Purchasing, Operations, Sales, and Suppliers.

Essential Tasks and Responsibilities:

Demonstrate a strong sense of urgency, accountability, and reliability in attendance, performance, and completion of responsibilities

Own all purchase order (PO), receiving, and shipment exceptions from identification through resolution

Investigate discrepancies including damages, shortages/overages, incorrect items, pricing inconsistencies, and delayed or missed shipments

Determine root cause and drive corrective actions with suppliers and internal teams

Inspect incoming shipments for accuracy and condition; verify against purchase orders, invoices, and bills of lading

Document and elevate discrepancies promptly while following proper receiving procedures to protect company claims

Manage and track all return‑to‑vendor (RTV) processes

File, document, and follow through on freight and supplier claims through resolution

Serve as a liaison between Purchasing, Warehouse, Sales, and Suppliers

Communicate status updates clearly and consistently; escalated unresolved or high‑impact issues as needed

Maintain accurate and timely updates in ERP systems (SX.e or equivalent), including exception notes, statuses, and outcomes

Ensure system accuracy with no false acknowledgments or premature closures

Track and report on exceptions, trends, vendor performance, and internal gaps

Identify recurring issues and support process improvements and SOP development to reduce repeat errors

Assist with inventory organization and warehouse orderliness as needed

Support packing and shipping activities when required to maintain operational flow

Required Qualifications:

Strong problem‑solving and investigative mindset

Ability to manage multiple issues simultaneously with attention to detail

Clear and professional communication across departments and vendors

Experience with ERP systems (SX.e preferred)

Understanding of purchasing, receiving, and warehouse operations

Ability to enforce process and hold boundaries across teams

Strong date entry skills with a high level of accuracy

Education:

4 year Diploma strongly preferred

Prior experience in Inventory Management

Work Environment
This position operates in a combination of office and warehouse environments. The role requires frequent interaction with inventory, incoming shipments, and warehouse operations, as well as regular use of computer systems and ERP software.

Exposure to warehouse conditions such as varying temperatures, noise from equipment, and active material handling operations

Regular collaboration with cross‑functional teams including Purchasing, Sales, and Operations

Time spent at a desk using a computer, phone, and other office equipment

Occasional need to move between office and warehouse areas throughout the day

Employees are expected to follow all company safety policies and procedures and wear appropriate personal protective equipment (PPE) when required.

Physical Demands

Frequent standing, walking, and moving between office and warehouse areas

Regular use of hands and fingers to handle, inspect, and document materials and shipments

Ability to lift, carry, push, or pull items up to approximately 25–50 pounds on an occasional basis

Visual ability to inspect shipments for accuracy, quality, and damage

Ability to bend, stoop, reach, and occasionally climb or balance as needed in a warehouse setting

Prolonged periods of sitting and working on a computer
