
Administrative Specialist II (Procurement)

Responsibilities
Support purchasing and procurement operations, assist with purchase orders and related duties, process requisitions, maintain records and travel-related transactions, coordinate with vendors and internal departments, and ensure timely and accurate documentation of purchasing activities.
Update and create forms as requested; publish new and updated documents to the SCC website and staff portal; create new vendor accounts and update vendor accounts in Colleague as needed; process internal requisition after department approval and travel forms for SCC employees; secure hotel reservations; prepare other letters, notices, and reports as directed.
Serve as initial point of contact for staff, vendors, and guests; provide reception services; maintain visitor log; intercept and redirect public/student traffic; instruct vendors on doing business with SCC; provide SCC staff with procurement process instructions.
Provide administrative services; monitor general purchasing email mailbox; resolve or refer emails; direct end users to appropriate forms and provide guidance on form completion; retrieve and disperse mail and solicitation packages; coordinate, schedule meetings, and reserve conference rooms for procurement staff.
Assist the Procurement Director with scheduling events and training; provide paraprofessional administrative support for various procurement trainings; print and prepare training materials; assist with material disbursement and collection, attendance, minutes, surveys, etc.
Compile documents for FOIA requests, audits, state quarterly reporting, scoring meetings, charging meetings, budget meetings, etc.; manage the procurement department's eTrieve database; assist in improving recordkeeping and streamlining internal procurement processes.
Occasional night and/or weekend hours may be required for scheduled events.
Qualifications
A high school diploma or GED.
Related office, clerical, secretarial, and/or administrative assistance experience and state procurement knowledge.
