
Administrative Coordinator (30 hours per week)

The Opportunity

We are looking for an energetic professional who has passion for organization, is adept at multitasking and who displays a welcoming demeanor. Hours are 8:30am-2:30pm or 9:00am-3:00pm. This is a 30 hour per week role.
Typical Duties Include
Administrative support for the Human Resources Department and visitors from other sites.
Meeting items, i.e. food, coffee, etc.
Manage credit card and receipts.
Assist with reserving meeting rooms.
Travel arrangements.
Manage guest tracking system.
Assist in basic screening of candidates, schedule and/or assist with setting up interviews.
Build a close collaboration with hiring managers and the Human Resource team.
Responsible for assisting with new employees as directed by HR, including but not limited to:
Orientation assistance or facilitation when needed.
Onboarding paperwork.
Orientation schedules for on‑site and off‑site new hires.
Answer all incoming calls and direct callers as needed.
Arrange for telephone coverage when on vacation.
Keep meeting rooms stocked, clean, and ready for meetings or guests at all times.
Order and maintain office supplies in a clean and organized manner.
Assist in vendor management, tracking payments, and ensuring proper correspondence.
Support internal employee events planning and execution.
Scanning employee files in the HR system.
Other duties assigned by HR or the administrative team.
What You Will Need To Succeed
Previous experience in administration or office management.
Entry‑level recruiting or HR experience a plus.
Proficiency in MS Office.
Hyper‑organized.
Excited about taking care of details.
Excellent customer service skills.
Ability to work independently and as part of a team.
Associate's degree in business preferred or equivalent combination of education and work experience.
