General Description
The Facilities and Asset Management Division of the Office of the Attorney General seeks a Clerk to handle advanced receiving, inventory management, and warehouse duties. Responsibilities include managing inventory from receipt to disposition, compiling data, verifying invoices, transporting and storing documents and inventory, maintaining receiving files, and relocating received items.
Essential Position Functions
Coordinate receiving, storing, and issuing of files, materials, and supplies related to Office of the Attorney General goods.
Answer inquiries regarding policies and procedures, assist vendors and staff with forms, and provide information by email or phone.
Review, edit, and reconcile discrepancies in reports, purchase orders, correspondence, summaries, manuals, vouchers, journals, ledgers, requisitions, records, and related forms.
Perform quality control checks to confirm items received are correct, in good condition, and in stated quantities.
Review and edit information on agency records and recommend modification of forms or records.
Review data entry, data retrieval, and data searches.
Verify goods received against purchase orders and purchase requisitions using the Centralized Accounting and Payroll/Personnel System (CAPPS).
Maintain routine filing of electronic paper records and files pertaining to receipt of agency purchases.
Utilize safe handling and transit methods for commodities.
Perform warehouse work and assist with maintenance and repair projects as needed.
Assist with agency projects including modular furniture reconfigurations, office moves, and asset management tasks.
Assist Supply Operations with order fulfillment and stock control.
Comply with all applicable security and safety rules, regulations and standards.
Perform related work as assigned.
Maintain relevant knowledge necessary to perform essential job functions.
Attend work regularly in compliance with agreed-upon work schedule.
Ensure security and confidentiality of sensitive and/or protected information.
Comply with all agency policies and procedures, including those pertaining to ethics and integrity.
Minimum Qualifications
High school graduation or equivalent.
One year of full‑time experience in materials management (purchasing, receiving, inventory management, property management) or thirty credit hours from an accredited vocational program, college, or university.
Valid Texas driver’s license and good driving record.
Knowledge of office procedures, spelling, punctuation, grammar, arithmetic, business or program terminology, warehousing procedures, state purchasing policies, and records administration techniques.
Skill in handling multiple tasks, prioritizing, and meeting deadlines.
Skill in exercising sound judgment and effective decision making.
Ability to lift and relocate a minimum of 50 pounds.
Ability to identify computer hardware.
Ability to prepare and maintain records, files, and reports; transfer stock; communicate effectively; and train others.
Ability to receive and respond positively to constructive feedback.
Ability to work cooperatively with others in a professional office environment.
Ability to provide excellent customer service.
Ability to arrange personal transportation for business‑related travel.
Ability to work more than 40 hours as needed and in compliance with the FLSA.
Ability to travel (including overnight travel) up to 5%.
Preferred Qualifications
Bachelor’s degree from an accredited college or university.
Experience working in state government.
Knowledge of warehouse operations, supply management, asset management, property management, distribution, logistics, or receiving.
Ability to communicate in Spanish.
