Overview
This is a full‑time Monday‑Friday 8am‑5pm position with no weekends, call, or major holidays. The position can be Level 1, 2, or Sr based on the candidate’s experience.
Role Summary
Under direct supervision, the Scheduler is responsible for scheduling patient appointments and tests in an efficient and timely manner, answering all incoming calls and directing them to appropriate personnel, serving as liaison between patients and medical staff, and supporting the US Oncology Compliance Program, including the Code of Ethics and Business Standards.
Responsibilities
Answer all incoming calls; assess callers’ needs and direct to appropriate personnel, and page clinic personnel as required.
Obtain and communicate messages accurately and promptly.
Schedule new, referred, and returning patients in the computer system, ensuring appropriate documentation, coding, and compliance with physician and office guidelines.
Cancel or reschedule appointments according to physician schedule changes and notify clinic personnel.
Enter all insurance authorizations and referral correspondence into patients’ charts or electronic medical records.
Collect co‑pays, deductibles, and other out‑of‑pocket amounts at time of visit.
Maintain the primary office scheduling template, including physician meetings, satellite schedules, rounding, and call coverage.
Arrange financial counseling for patients when needed.
Protect patient confidentiality in accordance with clinic policies.
Follow policies and procedures to contribute to front‑office efficiency; cover other front‑office functions as requested.
Prepare correspondence, memos, forms, and other typing tasks as requested by the supervisor.
Schedule outpatient appointments, tests, surgeries, and hospital admissions upon request; obtain necessary pre‑certification.
Communicate with patients about scheduled surgeries or tests, including required preparation and test specifics.
Follow up on all pre‑operative tests to ensure clearance for surgical procedures; liaise with physicians and patients if additional testing is required.
Schedule post‑operative follow‑up appointments with physicians.
Possess a basic understanding of medical terminology related to tests and surgical procedures, including coding and the ability to look up specific codes for diagnoses and procedures.
Qualifications
Level 1
High school diploma or equivalent required.
Entry‑level position; 0‑3 years’ experience preferred in a medical office setting.
Knowledge of medical terminology, scheduling, and/or authorization experience preferred.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Outlook, Word, Excel) required.
Level 2
All Level 1 requirements.
Minimum three years of office experience, preferably in a medical office setting.
Level Sr
All Level 1 and Level 2 requirements.
Minimum five years of office experience, preferably in a medical office setting.
Knowledge of medical terminology and coding required.
Physical Demands
Work may require sitting for long periods; stooping, bending, and stretching for files and supplies. Occasionally lift files or paper weighing up to 30 pounds. Requires manual dexterity to operate a keyboard, calculator, telephone, copier, and other office equipment. Vision must be correctable to 20/20; hearing must be in the normal range for telephone contacts. Prolonged periods of computer screen use and typing are necessary.
