Service Coordinator – Building Service
ColonialWebb is seeking a highly organized, Excel-savvy Service Coordinator to support our Building Service team in Charlottesville. This is a fast-paced, operations-critical role where you will manage scheduling, dispatching, purchasing, and customer communication for 10–15 Service Technicians. What You’ll Do
Develop and maintain short- and long-term schedules for 10–15 Service Technicians
Meet weekly with Service leadership to review workload, capacity, and priorities
Schedule and dispatch technicians for service calls, repairs, and inspections
Communicate directly with customers throughout the lifecycle of service work
Create and manage purchase orders; proactively track material shipments
Ensure technicians are fully equipped with information and materials to complete work
Support incoming service calls and generate work orders
Manage multiple active jobs simultaneously while maintaining accuracy and urgency
What We’re Looking For
Experience in service coordination, dispatching, or project support within a contractor environment (mechanical, HVAC, plumbing, electrical preferred)
Advanced Microsoft Excel skills — comfort working in spreadsheets daily (tracking, organizing data, updating schedules, managing reports)
Strong multitasking ability — able to manage high call volume, scheduling adjustments, and material tracking simultaneously
Comfortable communicating directly with field technicians and customers in a fast-paced service environment
Ability to make informed decisions independently
Calm under pressure, especially during emergency service situations
Strong organizational skills with high attention to detail
