
Academic Services Administrator

Position Summary
The Academic Services Administrator (ASA) reports to the Senior Academic Program Administrator and is responsible for providing comprehensive administrative and operational support to the Nurse Anesthesiology Program and other assigned College of Nursing initiatives. The ASA also serves as the academic advisor for students in the Nurse Anesthesiology program. This position supports the daily operations of the program by coordinating student recruitment, admission, and onboarding activities, DNP project practicum rotations, meetings and events, and communication with faculty, students, clinical partners, and University offices. The Academic Services Administrator also serves as a key liaison between the program and internal and external partners to ensure efficient operations, strong communication, and a positive experience for students and faculty.
Responsibilities
Assist with collecting and preparing paperwork for new faculty, adjunct, and courtesy appointments.
Prepare college follow-up data surveys and support implementation of the Nurse Anesthesiology Program Continuous Evaluation Plan.
Prepare reports and other materials as requested by program leadership.
Maintain DNP portfolio scholarly works documents and tracking.
Work with faculty to prepare course revisions, proposals, committee materials, and related documents.
Maintain a database of completed student DNP projects in Confluence.
Support cohort photo rosters and update them as needed based on attrition.
Create and maintain student emergency contact lists and program email distribution lists.
Maintain and update program websites, Canvas content, student job boards, and other online resources.
Update the Nurse Anesthesiology Program Handbook and catalog information as needed.
Coordinate and manage CRNA candidate interviews.
Maintain NursingCAS and admissions tracking documents and communicate with prospective students.
Create student folders and collect required paperwork for newly admitted students.
Coordinate and support major program events, including Meet and Greet, Open House, Town Hall, Advisory Board meetings, Graduate Orientation, and monthly program meetings.
Schedule meetings, prepare agendas, maintain calendar invitations, take meeting minutes, and archive materials in Box.
Use technology and process improvement strategies to streamline workflows and support program operations.
Support additional College of Nursing initiatives and projects as assigned.
Student Advising Duties
Assist Nurse Anesthesiology students with degree planning, course selection, and academic policies.
Monitor registration and academic progress, providing outreach to students at risk of falling behind.
Issue registration permits.
Manage and complete advising forms and degree certifications.
Ensure adherence to university/college policies and FERPA confidentiality guidelines.
Serve as a liaison to the student government.
Qualifications
This position requires a Master’s degree in education or a field of study related to the academic program, or a Bachelor’s degree in those same fields with a minimum of two years of experience. Four years of direct experience for a bachelor’s degree is required for those holding a bachelor's degree. Experience may substitute for postsecondary education as follows: two years for an associate degree, four years for a bachelor’s degree, six years for a master’s degree, seven years for a professional degree, and nine years for a doctoral degree.
SB 1310: Substitution of Work Experience for Postsecondary Education Requirements. A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed the limits above. Related work experience may not substitute for required licensure, certification, or registration.
