Job Summary
Under minimal supervision, manages the day to day administrative operations of the Dean’s office front desk and oversees all functions and work processes.
Responsibilities
Provides department oversight and manages the day to day operations of the Dean’s office and oversees all functions and work processes.
Manages and approves all departmental purchases including those made with the procurement card. Processes invoices.
Resolves a wide variety of complex situations and conflicts involving the functions of the office. Monitors workflow processes, recommends, and implements improvements.
Ensures University and college policies and procedures are being followed.
May assist with meeting preparation, special events and travel. Creates and distributes meeting materials as needed.
Manages and creates reports, memoranda, correspondence, manuals and documents as needed. Compiles data and other pertinent information for use on various issues as needed. Assists with designing and creating programs and presentations. Sets up and organizes filing system; maintains various databases.
Assists with the College of Arts, Science, and Education (CASE) events as needed including but not limited to coordinating, planning, set up, breakdown and manning registration tables.
Assists with travel arrangements for the Senior Team as assigned
eeded. Makes hotel and plane reservations, car rental and other accommodations, facilitates travel reimbursements and monitors expenditures within budget limitations and categories of the department. Processes expense reimbursements.
Serves as University’s credit card holder for departmental transactions. Assures compliance and adherence to University’s credit card policies and procedures.
Handles confidential records, information and reports for use by the Dean.
Minimum Qualifications
High school diploma or GED and six (6) years of office or related experience providing administrative support; OR an equivalent combination of relevant education and/or experience.
