About the Role
We are seeking a dedicated HR Payroll Specialist (m/w/d) to join our team in a full‑time or part‑time capacity (from 30 hours per week). This role is essential in ensuring the accurate and timely processing of payroll and related HR administrative tasks. The successful candidate will be responsible for executing the monthly payroll, managing employee benefits such as occupational pensions, and handling travel expense reimbursements. Additionally, the role involves preparing employment certificates, maintaining high‑quality HR data in SAP and SuccessFactors, supporting accounting activities, and managing deadlines related to employment contracts and legal requirements. As a key point of contact, you will provide professional support to employees, external service providers, health insurance companies, and government agencies, ensuring compliance with all relevant regulations and fostering a positive employee experience.
Qualifications
The ideal candidate holds a successfully completed commercial apprenticeship, preferably complemented by further training as a Personnel Specialist (Personalfachkauffrau/mann) or an equivalent academic qualification. You should have proven experience in payroll processing and a solid understanding of applicable legal frameworks. Proficiency in MS Office applications is required, and experience with SAP is advantageous. The role demands a self‑reliant, organized, and team‑oriented working style, coupled with a high degree of initiative and reliability. Discretion and confidentiality are paramount when handling sensitive employee data. Fluency in German, both written and spoken, is essential for effective communication within our team and with external partners.
Responsibilities
Perform accurate and timely monthly payroll processing, including project management for payroll outsourcing and interface coordination with service providers.
Administer occupational pension schemes, maintain service provider portals, and advise employees on benefits and related matters.
Manage travel and expense reimbursements, ensuring compliance with legal and tax regulations.
Create employment references and other personnel‑related certificates, ensuring accuracy and professionalism.
Maintain and update HR master data in SAP and SuccessFactors, ensuring data integrity and quality.
Support accounting activities through account reconciliations and year‑end closing procedures.
Monitor and follow up on critical deadlines such as probation periods, contract renewals, and work permits.
Serve as a competent contact person for employees, external service providers, health insurance companies, and authorities on social security and employment law matters.
