Position Summary
Reporting to the Intake Specialist Lead, the Intake Specialist II is an advanced intake role responsible for accurately and efficiently processing incoming prescriptions while providing additional operational support to the intake team. This position requires strong attention to detail, advanced problem‑solving skills, and the ability to assist with more complex intake scenarios.
We are seeking an Intake Specialist II to serve as a knowledgeable resource within the intake workflow and help maintain efficiency, accuracy, and compliance. This position plays a key role in supporting reporting, troubleshooting conflicting information, and assisting with provider communication related to prescription clarification and verbal prescription entry, ensuring alignment with organizational goals, operational excellence, and compliance standards.
Key Responsibilities
Receives and processes incoming prescriptions while accurately entering complete, compliant patient and medication information into the pharmacy system, consistently maintaining high productivity without compromising quality or accuracy
Identifies and resolves prescription discrepancies by applying strong critical thinking, collaborating with internal pharmacy teams, and escalating issues requiring clinical intervention—all while maintaining workflow efficiency
Supports provider communications by clarifying prescription details, entering verbal orders in compliance with policy, and ensuring complete documentation of all interactions in the pharmacy system
Provides operational support by assisting leadership with intake reporting and data tracking, monitoring workflow trends to identify process‑improvement opportunities, and supporting high‑volume or special project needs
Collaborates with pharmacists, technicians, and internal teams to ensure a smooth intake process while cross‑training across workflows and providing guidance to team members as needed
Maintains thorough and compliant documentation of all intake activities while adhering to federal and state regulations, HIPAA requirements, and internal quality standards to ensure patient safety and protect confidentiality
Performs all other duties as assigned by the Intake Specialist Lead or Automation Operations & Intake Manager
Qualifications
Education : High school diploma or equivalent (Required)
Licensure/Certification : Active Registered Pharmacy Technician or Certified Pharmacy Technician (CPhT) license (Required). Must hold active license issued by the Ohio Board of Pharmacy.
Experience :
1–3 years of experience in pharmacy intake, healthcare operations, or a related role. (Required)
Experience handling complex intake workflows or advanced pharmacy processes (Preferred)
Knowledge, Skills, & Abilities :
Knowledge of prescription intake standards & compliance; medication & pharmacy fundamentals; insurance & reimbursement basics; health system/retail systems knowledge; and regulatory frameworks & SOPs (Required)
Knowledge of specialty pharmacy workflows and advanced technician practice models (Preferred)
Data entry, verification, and customer/patient service skills (Required)
Time and workflow management skills (Required)
Excellent oral, written, verbal, and interpersonal communication skills (Required)
Problem solving and intake triage skills (Required)
Reporting, metric evaluation, quality management, and process improvement skills (Preferred)
Ability to ensure audit and documentation readiness (Required)
Ability to utilize multiple systems to maintain compliance and patient safety (Required)
Ability to coach and mentor peers and more junior team members (Preferred)
Work Environment
Location:
Hybrid or Remote (remote candidates must hold an active Ohio Pharmacy Technician certification)
Schedule : 11am‑7pm. Monday through Friday with night and weekend hours on occasion as determined by the needs of the business and cross‑facility travel as needed
Regular meetings with internal Warehouse, Pharmacy, Logistics, Safety, Compliance, Quality, Training, and Operations Management teams.
Key Essential Functions
Must be able to stand for at least 4 hours at a time while working
Must be able to lift up to 25 pounds with or without assistance
Must perform repetitive motions for an entire shift: bending, reaching, lifting, scanning.
Must be able to work onsite for all required shifts.
