
Administrative Specialist - Outpatient Parenteral Antimicrobial Therapy (OPAT)

Summary
UNC ID Outpatient Parenteral Antimicrobial Therapy (OPAT) program is seeking a part‑time Admin Specialist to join our team. This position is approximately 20 hours per week and requires a flexible work schedule, as it provides coverage for our Administrative Coordinator. The role is onsite at the UNC Eastowne Medical Office Building located off highway 15‑501 in Chapel Hill (100 Eastowne Dr, 5th floor, Chapel Hill, NC 27514). Parking is free in a parking deck onsite.
The Admin Specialist plays a critical role ensuring our patients are scheduled for important ID Clinic visits and procedures. Along with answering calls and messages for the OPAT team and forwarding communication to appropriate OPAT team member, the Administrative Specialists will coordinate clinic visits, radiology, audiology, and vascular procedures scheduling. They will work alongside nurses, pharmacists, and providers, to ensure safe, effective treatment and smooth transitions of care.
Worksite is in outpatient/clinic setting in the Infectious Diseases Clinic at Eastowne and includes meeting with patients during clinic visits.

Responsibilities
Review daily OPAT appointments to verify appointment statuses and identify cancellations; ensure timely rescheduling as needed.
Schedule a variety of patient appointments, including radiology, audiology, and vascular procedures.
Ensure all required imaging/radiology orders are submitted and scheduled in accordance with procedural timelines.
Schedule initial follow‑up appointments post‑discharge (in‑person or virtual) based on program guidelines.
Work with home infusion companies to validate IV‑line removals and updated laboratory results.
Manage weekly reviews with alternate sites of care (i.e. skilled nursing facilities, rehab facilities) where patients are being discharged, to assess patient admission status and determine if appointments should be adjusted.
Manage and respond to voicemails from patients and external contacts in a timely and professional manner.
Preferred Skills & Qualifications
Excellent organizational and communication skills.
Familiarity with medical scheduling within Epic and outpatient care coordination.
Proficiency in Microsoft Office, especially Word, Excel and PowerPoint.
Ability to work collaboratively across interdisciplinary teams.
Strong attention to detail and problem‑solving capabilities.
Education Requirements
High School diploma or GED
Licensure/Certification Requirements
No licensure or certification required.
Professional Experience Requirements
Two (2) years of clerical or administrative experience
If Bachelor's degree, no years of clerical or administrative experience
If Associate's degree, one (1) year of clerical or administrative experience
Knowledge/Skills/and Abilities Requirements
