Overview
We’re looking for a highly organized and proactive
Department Assistant
to support day-to-day operations at an active jobsite. This role is ideal for someone who thrives in a fast-paced environment, enjoys administrative coordination, and can effectively communicate with diverse teams—including Spanish-speaking crew members.
Responsibilities
Assist with weekly time entry for field craft payroll
Verify time in jobsite badging systems and support corrections
Coordinate craft correction paychecks
Maintain data entry for IRA tracking logs
Add apprentice information to third-party databases
Support new hire paperwork completion and accuracy
Handle UPS/FedEx deliveries and office logistics
Oversee office supplies and ordering
Assist with event and training setup
Translate documents and support Spanish-speaking employees with onboarding and daily communication
Qualifications
Fluent in both English and Spanish (speaking, reading, and writing) – required
High School Diploma or GED
2+ years of administrative or coordinator experience (construction environment preferred)
Strong organizational, communication, and prioritization skills
Ability to work independently and handle urgent requests
Professional, positive demeanor with strong interpersonal skills
Proficiency in MS Access, Excel, and Word (Oracle experience a plus)
Based on an active construction site in a field office trailer
Must have a personal vehicle capable of driving on gravel roads
Travel required on-site (may need to drive between project areas)
MVR check will be part of the background screening
Work boots required
Monday–Friday, 7:00 AM – 5:30 PM
Must be able to work a 5/10 schedule
Availability for Saturdays/Sundays as needed
40–50+ hours per week (overtime after 40 hours per state guidelines)
Not eligible for 9/80 or flexible schedules
