KBR is seeking an Administrative Coordinator (Evening/Afternoon Shift: 1‑9 pm) to support student management/accountability operations at SWESC/Naval Station Great Lakes. This full‑time, onsite role operates from 1 pm to 9 pm. The position provides administrative and program support in a professional office environment, focusing on coordination, record‑keeping, reporting, and customer service to maintain smooth daily operations and accurate student accountability for continuous training improvement and effectiveness.
Responsibilities
Maintain accountability rosters and student status updates using Government/Command repositories and internal tracking tools; validate rosters and resolve discrepancies.
Perform data entry/verification in designated student accountability databases (e.g., PowerApp Learning Site database) and housing systems (e.g., EMH), as required.
Prepare and submit time‑sensitive daily/weekly accountability deliverables in accordance with established reporting timelines.
Provide daily administrative support related to student preparation and accountability, including email communications, data validation, and updates to enrollment and appointment records. Maintain and verify student records in internal data systems by reviewing rosters, identifying discrepancies, and ensuring information accuracy.
Prepare, generate, and submit routine reports related to student status, room assignments, and accountability in accordance with established timelines.
Support student check‑in and check‑out processes by issuing and tracking keys, maintaining logs, and ensuring required documentation is completed and filed appropriately.
Monitor shared inboxes and communication channels for student requests, scheduling updates, medical and dental notifications, academic changes, and other administrative items, routing information as needed.
Provide administrative assistance with disciplinary and compliance documentation by assembling required forms, attachments, and records and routing them for review and approval.
Assist with weekly room inspection coordination by posting results, updating internal systems, and tracking follow‑up actions as required.
Maintain and update administrative lists and tracking documents related to student appointments, class assignments, attendance, and status changes.
Basic Qualifications
High School Diploma/GED & 6+ years of experience.
Active/Current Secret Clearance or ability to obtain and maintain.
Proficiency with Office 365 software and business tools (Excel, Word, PowerPoint, SharePoint, etc.). Familiarity with EMH and similar computer programs.
Preferred Qualifications
Exceptional organizational skills.
Exceptional customer service, time management, critical thinking, and active listening skills.
Prior military experience is helpful but not required.
Experience with Enterprise Military Housing (EMH) software.
Comfortable working with databases and internal tracking systems.
CPR certification.
Strong communication and customer service skills.
Ability to work effectively in a team‑oriented environment.
Adaptability and willingness to learn new systems and processes.
Schedule and Location
Full time. Shift: 1:00 pm – 9:00 pm. Onsite at SWESC/Naval Station Great Lakes. May require frequent travel between assigned buildings; candidate must provide own transportation. May require walking between buildings (potentially 1–2 miles) and working in inclement weather. May require stair use in multi‑floor buildings without passenger elevators.
Compensation
Basic: $53,000–$62,000. Additional compensation may include bonuses, commissions, or other forms of compensation as determined by internal policy or contractual designation.
