Position Title
Suites Administrative Assistant (Part-Time Seasonal) at Carmax Park
Job Summary
This position is a seasonal, event-based role, with a primary duration from April to September. The role is responsible for managing suite and catering orders throughout numerous owned and nightly rental suite and group area spaces. It oversees the full event lifecycle—from inquiry and menu development to execution, billing, and post-event feedback—collaborating closely with culinary, operations, and venue teams to ensure seamless, profitable events.
Essential Duties and Responsibilities
Build and maintain relationships with location partner teams to jointly secure and maximize catering opportunities.
Ensure smooth transition and communication with location partner teams to execute positive client experiences.
Analyze sales trends, client needs, and wants to enhance the overall event experience.
Maintain successful performance by increasing revenues, controlling expenses, and providing a return on investment for the location partner.
Respond promptly to all client correspondence, phone, and email, including initial inquiry correspondence, proposal development for qualified leads, and all follow-up as necessary to secure business.
Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve maximum revenue/profit potential and fulfillment of contract obligations while satisfying client needs.
Work closely with the culinary and operations team to develop menus and staffing bids to “WOW” clients and guests while maintaining operational feasibility, cost-effectiveness, and event appropriateness for venue facilities.
Create Banquet Event Orders (BEOs) and catering agreements in appropriate systems and submit for client signature in accordance with venue deadlines.
Work with venue or client to create floorplans and submit to local authorities when necessary.
Manage client relationships to set expectations and drive positive event experiences.
Handle client billing to ensure accurate and timely payment of deposits and final payments.
Solicit event feedback and compile opportunities for improvement and event experience.
Manage event communication to appropriate stakeholders, including event files for use by operations, schedule of events, and final BEOs.
Tip reconciliation and payout.
Other duties as assigned.
Qualifications
1+ years in a catering sales role.
Experience working on major events is preferred.
High level of computer literacy.
Passion for hospitality, food, and retail.
Excellent interpersonal skills.
