Position Summary:
The Office of Internal Grants, Awards, and Research Personnel (IGARP) within the Office of Research is seeking a motivated, energetic individual to join their team as an Operations Assistant. This position reports directly to the Operations Specialist and is responsible for administrative and clerical assistance for program and process operations for the IGARP office under the guidance of the Associate Vice President for Research (AVPR), Associate Director, and Operations Specialist.
Minimum Qualifications:
High school diploma or equivalent
Responsibilities
Provide general administrative support for IGARP.
Execute logistical details of IGARP and campus engagement events and provide administrative and clerical support to the AVPR for campus engagement activities.
Provide administrative and clerical support for IGARP process and program operations, including but not limited to the Visiting Researcher/Scholar registration process, the postdoc appointment process, the research scientist promotion process, and office competitive programs.
First point of contact for IGARP – answer general office inquiries.
Order office supplies, process reimbursements, initiate travel authorities, coordinate general office needs, repairs, work orders, POs, and file management.
Execute logistical details of professional development events and special events for postdoctoral scholars and research scientists, including scheduling, registration, announcement creation, catering, etc.
Assist AVPR with administrative tasks for other campus engagement activities.
Co-monitor IGARP departmental email accounts, respond to inquiries, schedule meetings, document creation and filing, collect and update data.
Perform initial intake of Visiting Researcher/Scholar registration requests.
Review and approve new postdoc position requests in UGA Jobs.
Knowledge, Skills, and Abilities
Excellent attention to detail and organizational skills.
Professional written communication skills.
Knowledge of office processes and procedures.
Excellent interpersonal and customer service skills.
Experience with technology tools used to support office environments.
Ability to coordinate multiple activities and meet deadlines.
Ability to work accurately and independently as well as with a team.
Ability to maintain confidentiality and handle sensitive information.
Physical Demands
Use of a computer for long periods of time.
Occasional lifting and transport of items that weigh at least 20 lbs.
Sitting, standing, walking, bending, stooping, pushing, pulling.
