Position Overview
We are seeking a detail-oriented Client Service Associate to support advisors and our broader operations team with client service, account administration, meeting preparation, and day-to-day operational activities. This role is ideal for someone who enjoys working closely with clients, managing multiple priorities, and supporting a collaborative financial services team.
The Client Service Associate supports the firm’s day-to-day processes and provides superior service and support to clients and other team members. Responsibilities include working with advisors’ meeting preparation, handling investment account and insurance service and new business, processing money movement transactions, and ensuring practice compliance. This team member provides the assurance that clients are taken care of and that our client commitments are met so our advisors can promote our services with confidence.
Responsibilities
Serve as the primary contact for client emails, calls, and service requests to handle directly or delegate to other service associates with professionalism and accuracy
Help prepare advisors for client meetings, including follow-up and documentation
Assist the gathering, input, and maintenance of client financial planning and portfolio data for new and existing relationships
Support new accounts, account and fund transfers, and ongoing account servicing and money movements including required minimum distributions, retirement plan contributions, etc
Assist with electronic documents, client signatures, record maintenance, and client billing
Facilitate communication between advisors, custodians, wholesalers, and allied professionals
Maintain written systems of repeatable practice functions and workflows
Help organize and maintain CRM records and client information
Support the firm’s regulatory compliance to include regular reviews, assisting with audits, and ongoing reporting requirements
Qualifications
Honesty, personal integrity, and a strong sense of responsibility
5+ years experience in financial services (client service role preferred)
Strong organizational skills and attention to detail
Excellent professional communication skills (written and verbal)
Experience working with financial software, CRMs, Microsoft Office products, and broker/dealer technology platforms
Ability to manage multiple tasks and follow through independently
Friendly, professional, and team-oriented demeanor
