Job Description
This is highly responsible administrative work in office management and bookkeeping. The work requires creating and maintaining a pleasant work environment, organizing inventory of equipment, managing financial information, communicating effectively, maintaining key records, managing employees, coordinating information, and distributing documents (mail, invoice, bills, etc.). Work is performed in an office setting which can require sitting for a long period of time. A high level of customer service is required due to the intensive interactions with stakeholders. The work is performed under general supervision where work assignments are subject to instructions and established work routines. Members are expected to work with some independence. Work is reviewed through observation and results obtained.
Examples of Work
Answer telephone, take messages, and operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
Communicate with project manager.
Collect, count, and disburse money, and complete banking transactions.
Prepare and process payroll information.
Prepare financial documents, reports, or budgets.
Prepare operational reports or records.
Prepare technical reports or presentations.
Prepare bank deposits by compiling data from cashiers, verifying and balancing receipts, and sending cash, checks, or other forms of payment to banks.
Receive, record, and bank cash, checks, and vouchers.
Transfer details from separate journals to general ledgers or data processing sheets.
Conduct purchase orders and expense reports.
Compile budget data and documents, based on estimated revenues and expenses and previous budgets.
Match order forms with invoices and record the necessary information.
Prepare meeting agendas, attend meetings, and record and transcribe minutes.
Complete work schedules, manage calendars, and arrange appointments.
Deliver messages and run errands.
Complete and mail bills, contracts, policies, invoices, or checks.
Process and prepare documents, such as business or government forms and expense reports.
Manage the general office operations in an orderly manner.
Organize the office space in a logical manner.
Multitask and manage a variety of priorities in a timely manner.
Operate a motorized vehicle.
Read, interpret, and apply written materials.
Perform debit, credit, accounts payable, basic bookkeeping, payroll, accounts receivable and total accounts on computer spreadsheets and databases such as QuickBooks.
Review and approve timesheets.
Implement hiring and firing of employees.
Conduct performance evaluations.
Communicate effectively both orally and in writing.
Visit job sites to observe employee performance.
Build rapport with clients and employees.
Manage Software: Microsoft, QuickBooks

Knowledge, Skills, and Abilities
Knowledge of Office Software such as: Microsoft Word, Microsoft Office, Microsoft Excel, Microsoft PowerPoint, and Microsoft Outlook
Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
Knowledge of administrative and office procedures and systems such as word processing, managing files and records, and workplace terminology.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Skill in electronic mail software such as Microsoft Outlook.
Skill in performing debit, credit, and total accounts on computer spreadsheets and databases, using specialized software.
Skill in preparing and process payroll information.
Skill in preparing bank deposits by compiling data from cashiers, verifying and balancing receipts, and sending cash, checks, or other forms of payment to banks.
