Payroll Analyst (Position Summary)
The Payroll Analyst position is part of a customer-focused team responsible for oversight and processing of the University of Georgia (UGA) payroll (approximately 25,500 W-2s generated). Responsibilities include preparation, updating, and maintaining payroll-related records, data files for payroll processing, as well as the resolution of payroll issues and customer service. This position will prepare the payroll by analyzing queries and reports in the OneUSG Connect system and resolving any issues, processing off-cycle payments to employees, and processing summer pay exception requests. This position will notify distributed departments of payroll errors and determine the best path to resolution. Responsibilities also include updating and maintaining Time Reporter data, proactively analyzing system data to determine pay inconsistencies, and working with both distributed units at UGA and Payroll Analysts at the University System of Georgia Shared Services Center (SSC) to resolve any payroll-related errors on the biweekly payroll.

Position must be flexible and productive in a high-stress, fast-paced environment and meet stringent production deadlines. This position coordinates between the University System of Georgia (USG), the Shared Services Center (SSC), and UGA distributed departments regarding payroll-related issues, including time and labor payroll processing, time reporter data updates, and general time reporting questions.

Responsibilities

Run and analyze payroll time and labor queries and reports to process biweekly and monthly payrolls.

Find errors and resolve all issues prior to confirming payroll.

Contact distributed departments to inform them of corrections that have been made.

Run reports and queries to monitor payroll and Time Reporter data to ensure all employees are set up correctly in OneUSG Connect.

Proactively analyze Time Reporter Data and payroll data compared with Job Data to avoid errors.

Update Time Reporter data and Time and Absence Approvers based on tickets and approvals.

Process retro start date changes to ensure Time and Labor pages are updated correctly.

Responsible for the off-cycle payroll process; review off-cycle checks to approve or deny payments and ensure forms are filled out correctly.

Run queries and reports in OneUSG Connect to determine root cause and resolve any errors.

Monitor and communicate on all unclaimed checks beyond 90 days.

Responsible for the annual escheatment process to send unclaimed checks to the state.

Research and answer questions from distributed departments using the Service Now ticketing system.

Monitor Time and Labor tickets to ensure all tickets are resolved in a timely manner or are assigned to the appropriate resource.

Continuously collaborate with other payroll analysts and payroll accountants on best practices and process improvement.

Process summer pay exceptions utilizing the MSS Exception Process; ensure payments align with the 33.33% and 11.11% before processing.

Add payments as an earnings adjustment in OneUSG Connect; monitor payments to Americorps participants to ensure compliance with federal regulations.

Qualifications

Minimum: High school diploma or equivalent and 2 years of related experience.

Preferred: Experience working in higher education; Bachelor’s degree preferred.
