Position Summary
The HR Coordinator supports daily human resources operations, including onboarding, employee records, recruitment support, and compliance. This role helps ensure smooth HR processes while maintaining confidentiality and supporting staff in a fast-paced rehabilitation facility. This role is an entry level HR role with growth potential.
Key Responsibilities
Onboarding & Employee Support
Coordinate new hire onboarding, including scheduling orientation and collecting required documents
Ensure all pre-employment requirements are completed (background checks, drug screens, licenses)
Maintain employee files and ensure documentation is complete and up to date
Serve as a point of contact for employee questions regarding HR policies and procedures
Recruitment Support
Post job openings on job boards and internal systems
Screen resumes and schedule interviews
Coordinate communication between candidates and hiring managers
Assist with offer letters and new hire paperwork
HR Administration
Maintain accurate employee records in HR systems
Track attendance, timekeeping issues, and leave requests
Assist with payroll preparation by ensuring accurate data
Monitor compliance with company policies and procedures
Assist and process bi-weekly payroll (increases, deductions, leave and terminations)
Compliance & Reporting
Ensure compliance with federal, state, and healthcare regulations
Track employee certifications, licenses, and expiration dates
Assist with audits and inspections as needed
Maintain confidentiality of all employee and patient-related information
Training & Development Support
Coordinate employee training sessions and orientations
Track completion of mandatory training (HIPAA, safety, etc.)
Assist with maintaining training records
General HR Support
Support employee engagement initiatives
Assist with performance review processes
Provide administrative support to the HR team
Help resolve basic employee concerns and elevate when necessary

Qualifications
Education
Associate or bachelor’s degree in Human Resources, Business Administration, or related field preferred
Experience
1–3 years of HR or administrative experience preferred but not required
Experience in healthcare or rehabilitation setting is a plus
Must have reliable transportation
Strong organizational and time management skills
Attention to detail and accuracy
Ability to handle confidential information
Strong communication and interpersonal skills
Basic knowledge of HR practices and employment laws
Proficiency in Microsoft Office and HR systems
Working Conditions
Office environment within a rehabilitation facility
May require occasional interaction with clinical staff and patients
Fast-paced environment with frequent interruptions
This role is the backbone of daily HR operations. The HR Coordinator will be organized, responsive, and able to handle a steady flow of small but important tasks without letting details slip.
