Position: Legal Assistant
Location: West Palm Beach
Employment Type: Full-time
Compensation: 60-70k
Position Overview
The Legal Assistant will provide comprehensive administrative and legal support to attorneys, ensuring efficient workflow and timely completion of tasks. This role involves preparing and managing legal documents, coordinating schedules, and maintaining organized systems. The position requires strong communication skills and the ability to collaborate effectively with attorneys, clients, and internal teams. Must be legally authorized to work in the United States.
Responsibilities
Provide comprehensive administrative and legal support to attorneys, ensuring smooth daily operations
Prepare, edit, and proofread a wide range of legal documents and correspondence for accuracy and compliance
Assist with real estate and corporate transactional matters, including document preparation and coordination of closing activities
Manage calendars, schedule meetings, and coordinate deadlines to support case timelines
Communicate professionally with clients, internal teams, and external parties to facilitate information flow
Handle document management, filing, and organization within internal systems for easy retrieval
Support dictation and transcription of legal documents to maintain accurate records
Maintain strict confidentiality of sensitive information in all interactions
Assist with general administrative tasks as needed to support the legal team’s objectives
Required Experience/Skills
Minimum of 5 years of experience as a Legal Assistant in a law firm environment or experience working at a title company
Experience supporting real estate and/or corporate transactional practices required
Proficiency in Microsoft Word, Outlook, and Excel
Familiarity with document management systems; experience with iManage is a plus
Strong written and verbal communication skills with the ability to interact confidently with clients
Typing speed of 65+ WPM with high accuracy
Experience with dictation and transcription software
Highly organized, detail-oriented, and able to multitask effectively in a fast-paced environment
Ability to handle confidential information with discretion
Team-oriented with a collaborative mindset
Preferred Experience/Skills
Experience with title matters is a plus
Prior experience in a mid-to-large law firm setting
Knowledge of real estate closing processes and corporate governance documentation
Familiarity with legal billing systems and time entry procedures
Ability to adapt quickly to changing priorities and deadlines
Education Requirements
High school diploma or equivalent required
Associate’s degree or higher in Legal Studies, Business Administration, or related field preferred
Paralegal certification is a plus
Continuing education in legal administration or real estate law is advantageous
