Human Resources Administrative Assistant

Job Summary
Assist with the day-to-day operations of the Zion ESD6 employee records. The Human Resources Assistant will handle the daily clerical duties of the HR department. They will also support the HR team with onboarding new and returning staff, and provide support to all employees.

Essential Job Skills

Responsible for maintaining District 6 records in a complete and orderly manner

Creating and maintaining a records management system

Performing data entry tasks as assigned

Updating existing records

Maintaining district employee and department records

Retrieving information from the filing system when requested

Maintaining up-to-date logs, including information about file changes or who has access

Scanning and uploading files to create digital copies of physical records

Processing and file copies of incoming and outgoing physical correspondence

Conducting routine verification to ensure integrity of the filing system

Performs clerical duties such as organizing files and retrieving an entity's paperwork, both physically and electronically

Process HR documents such as new hire documents; ensure timely completion of I-9 documents

Process department requisitions for payment

Conduct HR new hire onboarding

Schedule and conduct fingerprinting for new employees and volunteers/chaperones

Process employment verifications

Assist in the preparation for state audits

Update and make badges

Perform other duties and responsibilities as assigned by supervisor

Minimum Qualifications

Proven experience as an HR Administrative Assistant, staff assistant or relevant human resources/administrative position

Proficient PC literacy (MS Office in particular)

Hands-on experience with an HRIS

Ability to quickly adapt to new computer applications

Ability to maintain confidentiality

Excellent organizational skills

Strong communication skills

Strong task management skills

High School Diploma or Equivalent

3+ Years of Customer Service Experience

Has some knowledge of applicable federal and state labor laws

Possesses proficient project management skills in addition to excellent verbal and written communication skills

Demonstrates working knowledge of Excel

Demonstrates ability to handle multiple priorities in a highly transactional, fast paced environment

Has excellent integrity and demonstrates good moral character and initiative

Has proven ability to communicate and work with people in a teamwork environment

Knowledge is required to perform basic math, including calculations using percentages

Must be flexible and able to change priorities or projects on a frequent basis

Ability to meet deadlines and work independently and make independent decisions when necessary

Ability to work with a diversity of individual and/or groups

Bilingual in English and Spanish preferred

Terms of Employment

Salary to be established annually by the Board of Education: $47,000 to $57,000, commensurate with experience
