Job Description
The Admin Assistant provides essential high-level partnership to a senior leadership team. This role serves as a central hub for organizational flow, overseeing sophisticated calendar management and acting as a primary bridge between management and various stakeholders. Success in this position requires a professional who is naturally proactive, exceptionally organized, and adept at navigating a dynamic environment with evolving priorities. The ideal candidate demonstrates high levels of confidentiality, refined communication, and the intuitive ability to solve logistical challenges before they surface.
Responsibilities
Direct comprehensive calendar management for senior leadership, resolving scheduling conflicts and balancing urgent priorities.
Function as the primary interface for executive-level inquiries, ensuring all internal and external correspondence is handled with professional urgency.
Facilitate high-impact meetings by drafting structured agendas, refining presentation materials, and tracking post-meeting action items.
Streamline core administrative workflows, including document development, organizational review cycles, and periodic reporting.
Exercise superior judgment and confidentiality when managing sensitive corporate information.
Synchronize scheduling efforts between cross-functional departments and outside partners to maintain operational harmony.
Provide versatile support for unique initiatives and organizational projects as required.
Required Skills
Demonstrated background supporting C-level or senior management within a high-growth, agile corporate setting.
Exceptional mastery of time-management and organizational systems, with a focus on overseeing diverse workflows.
Advanced proficiency in business writing and verbal engagement – Expert-level capability in Microsoft Office and sophisticated digital scheduling platforms.
A self-starting mindset with the ability to forecast needs and adjust quickly to shifting business demands.
Unwavering integrity and professionalism in the handling of private data.
Preferred Expertise
Prior experience within a technical, scientific, or clinical-stage industry.
Exposure to project management frameworks and operational process optimization.
