About the Role
The role of the Executive Administrative Assistant is to provide support and clerical expertise to the Executive Office and respond to guest and employee inquiries in an efficient, courteous and professional manner. This individual will be a member of a dynamic team who provides unparalleled experiences to our guests. This position reports to the General Manager and the hotel Manager.
Essential Functions
What you will do
Perform administrative skills such as typing, filing, copying, faxing, opening and sorting mail, as well as answering telephones
Coordinate appointments for General Manager and Hotel Manager
Respond to guests, residents and vendors on behalf of the General Manager and Hotel Manager
Assist Elite status guests with guestroom bookings and concierge services
Serve as hotel ambassador for VIP guests
Manage reservations for bookings made through the Executive office
Draft cards for VIP guest arrivals
Respond to guest concerns and recognition on behalf of the hotel
Compile monthly guest comment analysis and ensure proper distribution of results
Handle travel arrangements and reservations for various VIP guests
Handle complaints in the absence of the General Manager and inform him/her as to action taken and follow up required.
Assist with Glitch follow up to guests on behalf of Executive Office
What You Bring
Qualifications & Experience The ideal candidate would have the following qualifications and experience:
Extensive knowledge of Microsoft Office, specifically Word and PowerPoint
Strong verbal communication skills, both in person and via telephone
Vast knowledge of local market including restaurants, destinations and venues
Interpersonal skills with VIP guests and residents
Ability to maintain strict confidentiality
Knowledge of front and back of house hotel operations
Works well under pressure, multitasking, and team player
Extreme attention to detail in all areas, organizational skills, and thinks strategically
